Job Description

Position Summary We are seeking a detail-oriented Project Management Intern to support the Project Manager on the HUD Technical Suitability of Products (TSP) Program. In this role, you will help keep the program running smoothly by supporting program administration, tracking, renewals, transition activities, deliverable coordination, and document control. This is an excellent opportunity to gain hands-on experience in federal program management, government contracting workflows, and structured document control while contributing to meaningful work supporting HUD housing programs. Key Responsibilities Program Administration and Tracking Support development and maintenance of the Project Management Plan, task trackers, deliverable trackers, document control log, and program calendars. Maintain and update the Contact Master List. Support monthly status meeting preparation, including agendas, action item tracking, meeting minutes, and follow-up logs. Assist in preparing Monthly Activity Reports, including status updates for reviews, renewals, audits, risks, deliverables, and sponsor responsiveness. Maintain organized electronic files using approved naming conventions, version control, and HUD-required folder structures. Renewals Support Maintain the Calendar of Renewals for MR, EB, MEB, and UM bulletins. Track expiration dates, renewal deadlines, sponsor responses, missing materials, and follow-up actions. Draft Notification of Renewal Letters using HUD-approved templates. Log correspondence with sponsors and escalate overdue or non-responsive items to the Project Manager. Deliverable Coordination Track due dates, COR comments, revisions, approvals, and final submission status for all assigned deliverables. Support quality control checks for completeness, formatting, naming conventions, and consistency with proposal/PWS requirements. Assist in preparing standardized procedures, templates, checklists, letters, and reporting tools. Program Document Support Assist with formatting, editing, and version control for HUD handbooks, SOPs, Minimum Property Standards updates, TSP bulletins, and other program documents. Support preparation of cumulative progress reports and final assessment reports for document revision tasks. Ensure administrative consistency across revised program documents, tables, references, appendices, and deliverable packages. Qualifications Required Currently pursuing or recently completed a degree in Business or Public Administration, Project Management, or Architectural/Civil Engineering fields. Strong organizational skills and meticulous attention to detail. Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new tools and document management systems. Clear written and verbal communication skills. Ability to manage multiple tasks, track deadlines, and follow structured processes and naming conventions. Reliable, self-directed, and able to handle sensitive program information with discretion. Preferred Coursework or prior experience in project coordination, program administration, or government contracting. Familiarity with document control, version control, or records management practices. Interest in federal programs, housing policy, or HUD-related work.
