This is a detail-driven, office-based role responsible for keeping projects organized, on schedule, and fully documented from start to finish. About OLS Office Liquidation Solutions (OLS) is a commercial decommissioning and liquidation firm with over 30 years of experience. We help companies exit spaces responsibly—maximizing reuse, recycling, and landfill diversion while restoring properties to lease-end standards. We are a lean, high-performing team that values accountability, organization, and execution. Our culture is professional but personable. What You'll Do Client & Communication Support Communicate with clients to confirm scope, timelines, and expectations Coordinate project start details and points of contact Prepare meeting documentation and track follow-ups Provide clear written confirmations to vendors and stakeholders Scheduling & Logistics Coordination Maintain project schedules and master calendars Coordinate labor, vendors, and freight with Project Managers Confirm vendor availability and track key milestones Ensure smooth handoffs between intake, planning, and execution Budgeting & Contracting Support Assist with vendor quotes and budget compilation Prepare contracts, proposals (RFP/RFQ), and change orders Review and edit project solutions with internal team input Support billing documentation and expense tracking Documentation & Compliance Maintain organized project files and documentation Track and follow up on Certificates of Insurance (COIs) Ensure all required documents are complete before project start Monitor incoming communications and update tracking systems Systems & Tracking Maintain and update HubSpot CRM and workflows Track project progress and flag delays or gaps Assign and monitor follow-up tasks Prepare structured task lists and coordination summaries What We're Looking For Highly organized and detail-oriented Strong time management and ability to juggle multiple projects Clear, professional written and verbal communication Comfortable working in a structured, process-driven environment Reliable, responsive, and accountable Able to work independently with minimal supervision Requirements 3-5 years of experience in project coordination, scheduling, logistics, construction, or similar field Strong proficiency in Microsoft Word and Excel Proven ability to manage detail-heavy, repetitive tasks with accuracy Valid driver's license and reliable transportation Compensation & Benefits Competitive salary (based on experience) Annual performance bonuses 8 paid Federal holidays
