seeks a highly organized and collaborative Development Coordinator to provide essential support across the Museum?s Development Department and help advance the philanthropic relationships that sustain UMMA?s exhibitions, collection, programs, and mission. Reporting to the UMMA Chief Development Officer, this position plays a central role in the department's daily operations and long-term effectiveness. Through careful coordination of gift processing and reporting, donor acknowledgment, prospect tracking, and development communications, the Development Coordinator helps ensure that donors and partners experience UMMA as a thoughtful and responsive institution. The Development Coordinator will work closely with colleagues across the Museum to strengthen internal collaboration and support clear and efficient workflows. Financial Reporting, Data Management, and Gifts-in-Kind:
Support the UMMA Development team holistically with processes such as gift processing and reporting, the creation of solicitation mailing lists and event invitation lists, and campaign progress reports Coordinate asks/opportunities, track activities and outcomes, write prospect briefings, and generate reports to assist gift officers with prospect management activities Collaborate with the UMMA business office on the gift fund utilization, tracking and reporting on endowment usage, and to ensure that data systems are aligned and efficient Lead all development processes related to gifts-in-kind in collaboration with the curatorial and registration teams
Stewardship, Communications, and Events:
Serve as a frontline contact for donor inquiries via phone, email, and mail In collaboration with the development team, serve as the primary author of acknowledgment letters and donor reports Lead in maintaining and improving stewardship, gift processing, and the acknowledgment letter process Support event planning, execution, and wrap-up activities at the direction of the Assistant Director of Development, Annual Giving and Events, and serve as the primary point person for event vendors Draft concise professional emails, memos, and reports tailored to multiple audiences, including on-campus funding and sponsorship requests Coordinate development-focused marketing and communications in collaboration with the Marketing team by building production schedules and coordinating payments to vendors
General and Administrative Support:
Provide administrative support to the Chief Development Officer Support CDO and gift officers' travel and reconcile expense reports Support the Senior Associate Director of Development, Institutional Giving in the preparation of proposals and reports Support boards and committees, including meeting planning and recording minutes
Internal Relations:
Develop agendas for development meetings Represent the development department at exhibition and project team meetings Gather internal and external data for donor reports and solicitations Partner with the Assistant Director of Development, Annual Giving and Events, for the creation and implementation of a culture of philanthropy with internal constituents, including students and staff In collaboration with the Assistant to the Director, support the physical UMMA Administration Office daily operations and appearance Work closely with the Assistant to the Director to support efficient communication and coordinated workflows between the Director?s Office and the Development team. Bachelor's degree or an equivalent combination of certification, education, and experience 1-2 years of experience in fundraising, marketing, public relations, communications, or a related field Experience working with a database Demonstrated excellent interpersonal and communication/writing skills Demonstrated strong organizational skills to coordinate multiple priorities, work at high standards and with attention to detail, and meet deadlines within a required timeframe Ability to work in an open, collaborative space and ability to work in a fast-paced environment Demonstrated consistency in follow-through and accountability Ability to work with confidential information Job openings are posted for a minimum of seven calendar days.
