Resident Project Coordinator Shelter Corporation - 3.7 Oakdale, MN Job Details Full-time $25 - $27 an hour 1 day ago Qualifications Vendor relationship building High school diploma or GED Full Job Description The Resident Project Coordinator serves as the primary on-site liaison and support resource for ownership, residents, vendors, and operational teams across the portfolio. This role provides day-to-day coordination and administrative support for ownership's capital improvement Projects (CIPs), operational improvement projects, incident response coordination, and ongoing property support needs. The Resident Project Coordinator is responsible for maintaining strong communication between ownership, while ensuring projects, resident concerns, and operational needs are addressed efficiently, professionally, and proactively. This position acts as the central point of coordination for site-related activities and resident inquiries tied to each assigned property. The Resident Project Coordinator plays a critical role in supporting ownership initiatives, improving operational efficiency, enhancing resident experience, and ensuring successful coordination of projects and property needs across assigned sites. Ownership & Project Team Support Provide direct administrative and operational support to ownership's project team across multiple properties. Assist with planning, tracking, and coordination of operational projects and capital improvement projects (CIPs) planned for the current year and provide suggested CIPs for future budgeting needs. Support project execution by coordinating schedules, meetings, vendors, documentation, site logistics, on-site support, and resident communications. Maintain project files, budgets, timelines, reports, and status updates for ownership review. Act as a liaison between ownership, contractors, property staff, and residents during active projects. Monitor project milestones and escalate delays, risks, or site concerns as needed. Incident & Operational Support Respond to and coordinate support efforts for property incidents, emergencies, and operational disruptions. Assist with documentation, vendor dispatching, support insurance requests and follow-up, and resident support following incident impact. Work closely with site teams to identify operational deficiencies and support corrective action plans. Coordinate and track operational maintenance initiatives and property improvement efforts. Bid & Vendor Coordination Assist with obtaining, organizing, and reviewing bids for operational projects and projected capital improvements, dependent upon budgets. Coordinate contractor walkthroughs, proposal collection, insurance documentation, and vendor onboarding. Support ownership in evaluating vendor proposals and project scopes. Maintain vendor relationships and ensure timely communication throughout project timeframes. Resident Relations & Site Support Serve as the primary resident support contact for project-related and site-specific inquiries. Communicate project schedules, service interruptions, updates, and expectations to residents in a professional manner. Address resident concerns and coordinate resolutions with property management and ownership teams. Maintain a visible and responsive presence at assigned sites to support ongoing operational and resident needs. Assist with resident notifications, meetings, and property communications during active projects or incidents. Prepare reports, summaries, meeting notes, and project updates for ownership and leadership teams. Track budgets, invoices, purchase orders, and project-related expenses as assigned. Maintain accurate records of resident communications, project documentation, and vendor activity.
Qualifications:
Strong organization skills and attention to detail Ability to effectively communication with multiple groups and respond timely to residents with diplomacy and tact Experience managing budgets, and ability to monitor financial reporting 3-5+ years of project management and/or property management required Ability to work independently while maintaining strong collaboration with ownership and operational teams. Experience with Microsoft office software preferred Experience with property management software preferred Experience coordinating vendors, contractors, and operational projects preferred. Knowledge of property operations, maintenance coordination, and capital improvement processes is preferred. High School Diploma or Equivalent required
