Job Description

Administrative Assistant / Project Coordinator We are hiring an Administrative Assistant / Project Coordinator who will report to the company owner and play a central role in daily office operations and project delivery. This is a multifaceted position ideal for someone with excellent people skills, superior organizational habits, and the initiative to solve problems proactively. You will be expected to juggle multiple tasks, support project workflows, and maintain accurate financial and administrative records. Responsibilities Serve as the primary administrative support for the owner, managing calendars, coordinating meetings, preparing agendas and materials, and tracking follow-up items. Coordinate project schedules, assign and monitor tasks, and work closely with the Drafting Department. Develop and maintain Excel spreadsheets to analyze data, monitor budgets, and streamline reporting; build and improve templates for consistency. Perform day-to-day bookkeeping activities in QuickBooks by entering quotes/invoices. Maintain office systems, manage customer relationships, and ensure the physical workspace is organized and well-stocked. Act as a reliable point of contact for clients and colleagues, demonstrating professionalism and strong written and verbal communication. Qualifications Previous experience working in office environments with direct support to managers or business owners. Demonstrated proficiency with Excel and QuickBooks; ability to create meaningful reports and handle routine accounting tasks. Excellent multitasking abilities, attention to detail, and a proactive problem-solving attitude. Strong interpersonal skills, discretion with confidential information, and the ability to work independently as well as collaboratively.
