Job Description
About Us Technical Arts Group (TAG) is a leading entertainment and live-event production company specializing in corporate events, concerts, festivals, trade shows, theatrical productions, sporting events, and permanent installations. We are seeking a highly organized and proactive Project Management & Staffing Coordinator to support our Project Management department and coordinate staffing for current and upcoming projects. This person will help keep projects organized, ensure staffing needs are addressed, maintain accurate schedules and records, and follow up with project managers and technicians to make sure nothing falls through the cracks. Key Responsibilities Provide administrative support to the Director of Project Management and the Project Management team. Review current and upcoming projects to identify staffing requirements and deadlines. Work with project managers to determine crew positions, schedules, travel requirements, and technical qualifications. Contact, schedule, and confirm employees and freelance technicians for assigned projects. Maintain accurate staffing information within Lasso or other company scheduling systems. Track open positions and follow up until all required crew members are confirmed. Communicate schedules, project details, and changes to assigned personnel. Immediately escalate staffing shortages, cancellations, or scheduling conflicts. Maintain department calendars and coordinate meetings and communications. Organize and lead weekly Project Management meetings covering current projects, upcoming events, staffing needs, and outstanding action items. Track project milestones, deadlines, and departmental action items. Maintain organized project documentation, shared Google Drive folders, tracking sheets, and reports. Coordinate with Operations, Logistics, and other departments to ensure project requirements are properly communicated. Assist with travel coordination, expense documentation, onboarding, and special departmental projects. Manage relevant Slack channels and support communication across Project Management and Operations. Qualifications Two to four years of administrative, project coordination, staffing, scheduling, or operations experience. Strong organizational skills and exceptional attention to detail. Ability to manage multiple projects, staffing needs, and changing priorities simultaneously. Clear and professional written and verbal communication. Comfortable contacting employees and freelancers and following up until assignments are confirmed. Proactive, dependable, and able to work with limited supervision. Proficiency with Google Workspace and Microsoft Office. Experience with Slack, Lasso, or similar scheduling and communication platforms is preferred. Live-event production, entertainment, technical services, or staffing experience is strongly preferred. High school diploma required.
