Job Description
Job Overview We are seeking a dynamic and detail-oriented (Experienced) Project Assistant to join our construction management team. This is a full-time (in-person) on-site at a data center job in Santa Teresa, NM. In this vital role, you will support project managers and site teams by coordinating project activities, managing documentation, and ensuring smooth communication across all phases of a large construction project. Your expertise will help drive project success through efficient scheduling, cost control, and effective collaboration. Duties Provide high-level administrative support to the construction site of a large data center (to include recording notes from meetings, typing, scanning, and filing as required by the project/Project Mgr.) Prepare submittals, operation & maintenance manuals and warranty letters for trasmittals. Order operations and maintenance information. Attend and take notes at turn over meetings. Collect requested data and information from various sources including emails, correspondence, meeting minutes, records and other documents; prepare summaries of findings and/or other related written correspondence as requested. Maintain accurate documentation of foreman information/project activities and all job documentation using construction management software in ProCore and Acumatica. Track submittals. Request insurance certificates; pull permits as required. Maintain plan and specification area in office for current jobs and verify archiving of all documentation. Timely posting/incorporation of addenda and contract docs. Review and archive all daily logs. Project close out (as-builts, intranet and contract drawings, etc.) Prepare, enter, distribute and scan monthly pay estimates by deadlines. Balance jobs. Be familiar with specified requirements on the project as they relate to documentation. Monthly entry of subcontract invoices. Process change proposals for projects. Proven hands-on experience supporting construction projects with a strong understanding of construction industry practices. Excellent organizational skills with the ability to manage multiple tasks efficiently under tight deadlines. Effective communication skills for collaborating with diverse teams.
