Job Description

We are looking for an organized, detail-oriented coordinator to assist with the day-to-day installation of residential interior design and renovation projects. This is a hands-on support role working closely with the owner and design team. The primary responsibility is to help keep projects and their subsequent products organized, information flowing, deadlines visible, and follow-ups from falling through the cracks. This involves tracking, receiving and organizing products for multitude of projects at the same time. This is an excellent opportunity for someone with an interest in residential interior design and renovation who enjoys organization, communication, problem-solving, and seeing projects come together. Candidate must be able to read and interpret design drawings, plan views and elevations at minimum. Our software includes Notion, Sketchup, Studio Designer and 2020 design for cabinet layouts. Responsibilities Project Coordination Maintain project calendars, schedules, and task lists. Track project deadlines and upcoming milestones. Keep lists of outstanding decisions, questions, and action items. Follow through with returns, credits and exchanges for ongoing projects Receive deliveries to site, coordinate with homeowners, keep accurate product inventory lists Follow up with contractors, trades, vendors, and clients as directed. Help prepare for project meetings and site visits. Take notes during meetings and distribute follow-up items. Keep project files, drawings, specifications, and correspondence organized. Help the owner and design team stay on top of what needs to happen next. Construction & Site Support Attend residential job-site visits with the owner or designer. Document site conditions, questions, and project progress. Photograph and organize site conditions and progress. Help communicate design information to contractors and trades. Track punch-list items and follow up on completion. Help identify items that require the owner's or designer's attention. Client & Vendor Communication Communicate professionally with clients, contractors, trades, and vendors. Follow up on outstanding questions and information. Schedule meetings, site visits, and appointments. Help keep communication organized and moving forward. Escalate questions or problems to the owner or designer rather than making design or construction decisions independently. Design Team Support Assist with organizing drawings, finish schedules, selections, samples, and project information. Help prepare documents and information for meetings and job sites. Assist with research and sourcing as requested. Help maintain an organized studio and project environment. What This Role Is — and Isn't This is a support and coordination position, not an independent project management or design position. You will work closely with the owner and design team and will be expected to learn the firm's systems and become increasingly independent over time. You will not be responsible for procurement, purchasing, project budgeting, or making independent design or construction decisions. The Right Person We're looking for someone who is: Extremely organized and detail-oriented. Reliable and excellent at following through. Comfortable making phone calls and sending follow-up emails. A good communicator who is professional and personable. Proactive rather than waiting to be told every next step. Comfortable asking questions when something is unclear. Interested in interior design, architecture, construction, and residential renovation. Comfortable working in a small business where priorities can change quickly. Someone who notices details and takes pride in keeping things organized. Must have a reliable car - mileage is reimbursed, but there are many errands to run both before and during project installation Experience in interior design, architecture, construction, or project coordination is preferred, but the right attitude, organizational ability, and willingness to learn are equally important. What Success Looks Like A successful person in this role will make the owner's life easier by: Keeping project information organized. Making sure follow-ups happen. Knowing what is outstanding on each project. Bringing important issues to the owner's attention before they become problems. Keeping meetings and site visits organized. Maintaining clear communication with project partners. Taking responsibility for assigned tasks without constant reminders. Compensation $22-$25 per hour, depending on experience and qualifications. Hours may be structured as part-time or full-time depending on the needs of the firm and the candidate's experience and availability. The position has the potential to grow into greater project responsibility as the candidate develops experience and demonstrates strong judgment, organization, and follow-through.

$22.00 - $25.00 per hour Expected hours: 20.0 - 35.0 per week
