full-time Overit is looking for an experienced Project Manager who sees a lot of moving pieces and immediately starts figuring out how they all fit together. This is a hands-on project management role focused on the day-to-day coordination of client work. You'll work closely with the COO, Client Services, Department Heads, Finance and production teams to build project schedules, coordinate resources, track budgets and keep timelines and deliverables on track. Our work spans websites, SEO, digital campaigns, marketing automation, content, creative, video and traditional advertising. We're looking for someone who doesn't just update a schedule and report that something is late. You see it coming, ask the questions, raise the red flag and help figure out the solution. If managing timelines, budgets, resources and 47 moving pieces at once sounds more satisfying than terrifying, we should talk. What You'll Do Project Planning & Delivery Manage and coordinate the internal aspects of project planning and execution, including timelines, milestones, budgets, schedules, resources and deliverables Develop and maintain accurate project schedules, dependencies and internal deadlines to ensure client commitments are met Proactively monitor active projects for delivery health, identifying risks, roadblocks and potential delays early and driving resolution Anticipate and resolve scheduling, resource and delivery conflicts quickly and effectively. Reprioritize work as agency priorities and project requirements change to keep delivery moving efficiently Lead internal cross-departmental project, scheduling and prioritization discussions to resolve challenges, clarify next steps and maintain alignment Coordinate external vendors and freelancers as needed for project fulfillment, including schedules, availability, deliverables and budgets Resource & Capacity Management Manage day-to-day agency resource scheduling and assignments in Workamajig. Maintain visibility into team capacity, workloads and upcoming demand, partnering with Department Heads to balance priorities, available capacity and approved budgets. Identify resource gaps, over-allocation and underutilization early and help resolve conflicts or changing project needs. Coordinate freelance resource needs, including availability, assignments, schedules and associated costs. Budgets, Estimates & Billing Partner with Sales, Client Services and Department Heads to develop accurate project and campaign estimates based on scope, resource requirements and anticipated hours. Enter and maintain project estimates and billing schedules in Workamajig, ensuring approved scope, hours, rates and billing terms are accurately reflected. Monitor project budgets, estimated versus actual hours and budget burn throughout the project lifecycle. Conduct regular budget reviews with Client Services and proactively flag potential overages, write-offs, scope concerns and other financial risks. Coordinate with Finance and Client Services to resolve billing discrepancies, missing information and other project financial needs. Keep project schedules and resource allocations aligned with approved estimates and available hours. Workflow & Agency Operations Maintain accurate project, schedule, resource, estimate and budget information in Workamajig. Partner with the COO, Client Services and Department Heads to maintain clear ownership, communication and accountability throughout project delivery. Identify workflow improvements, help reduce recurring bottlenecks and support consistent use of established project-management standards. Provide proactive visibility into delivery health, capacity, budget risk and upcoming resource needs. Embrace AI and emerging tools to improve project-management workflows and help the agency work smarter. You're Probably a Fit If You... Have 3+ years of project management experience; advertising, marketing, digital or creative agency experience is strongly preferred Have experience managing a high volume of concurrent clients, projects and deliverables across multiple teams Have experience with resource and capacity planning across multiple teams Have strong financial acumen and demonstrated experience managing project estimates, budgets, billing schedules, labor hours, budget burn and overall budget performance Understand how project delivery impacts profitability and can identify financial risk before it becomes a bigger problem Understand how to build and manage project schedules, milestones, dependencies and resource plans Are comfortable working with Finance and Client Services to reconcile project financials, identify discrepancies and keep billing on track Have experience coordinating freelancers, vendors and other external resources Have experience using project and resource management software; Workamajig experience is a strong plus Are exceptionally organized and detail-oriented while still able to see the bigger picture when many things are moving at once Are a proactive communicator who asks questions, closes loops, keeps the right people informed and raises concerns about timelines, resources, scope or budgets early Can navigate difficult conversations, competing priorities and shifting deadlines calmly, professionally and with a solutions-oriented mindset Learn new systems, processes, clients and types of work quickly Enjoy working across disciplines - from digital media, websites and SEO to content, creative, video and traditional advertising Understand that great project management isn't just about hitting deadlines - it's about helping teams deliver great work efficiently and profitably Are comfortable working primarily behind the scenes while playing a critical role in successful client delivery Are curious, innovative and AI-forward, with an interest in using new tools and technology to improve how work gets done A Little About Overit Overit is an integrated creative and marketing agency based in Albany, NY.
