Job Description

Description Mary Christman and Gabrielle Maisonet are working with a growing construction organization seeking a detail-oriented Project Coordinator to join their team! This temp-to-hire opportunity is ideal for someone who enjoys supporting project operations from pre-bid through closeout, maintaining organized documentation, and working closely with project managers, subcontractors, and vendors. In this role, you'll play a key part in coordinating project documentation, supporting bidding processes, managing submittals, and assisting with financial and administrative functions. What you'll be doing: Project Coordination - Public Work (Pre-Bid & Post-Bid)
  • Requesting and organizing bid documents and setting up project folders
  • Saving addenda and communicating updates to estimators
  • Preparing and delivering bid packages
  • Requesting bid bonds, performance & payment bonds, and applicable insurance (OCP/BR)
  • Completing post-bid documentation and transitioning projects to "In Progress" Submittals & Project Setup
  • Creating and maintaining submittal logs and cover sheets
  • Organizing vendor submittals and saving product data to corresponding folders
  • Ensuring all project documentation is accurate and properly filed Project Closeouts (Public & Private Work)
  • Preparing closeout documentation, including AIA documents (for public projects), cover sheets, and table of contents
  • Identifying missing documents and coordinating with Project Managers, subcontractors, and vendors
  • Assembling and reviewing closeout binders
  • Submitting final closeout packages to construction managers, architects, and engineers Financial & Purchasing Support
  • Preparing tax-exempt certificates when applicable
  • Issuing purchase orders and change orders
  • Distributing POs to subcontractors and vendors
  • Completing job account setup forms (e.g., FW Webb, AAON) as needed COI Tracking & Compliance
  • Creating and maintaining Certificate of Insurance (COI) tracking logs
  • Requesting updated or missing COIs from subcontractors
  • Managing COIs for customers, including tracking, filing, and coordinating removals of expired or unnecessary documents
  • Organizing municipal ("City of") COI folders for permit-related needs Permitting & Administrative Support
  • Completing and submitting permit applications to local building departments
  • Coordinating payments and tracking permit status
  • Saving approved permits and distributing to Project Managers
  • Supporting general administrative duties such as filing, scanning, and document management
Requirements Required:
  • 1-3 years of experience in construction administration, project coordination, or a similar role
  • Strong organizational and document management skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Proficiency in Microsoft Office and file management systems
  • Strong communication and follow-up skills
Preferred:
  • Experience working in the construction or contracting industry
  • Familiarity with bid processes, submittals, and project closeouts
