Construction Administrator 📍 Tarrytown, NY | 🕗 Mon-Fri, 7:00 AM - 3:30 PM Mechanical Construction | Large‑Scale Project Environment Be the Backbone of High‑Impact Mechanical Construction Projects We're seeking a detail‑driven Construction Administrator who thrives in a fast‑paced construction environment and enjoys being at the center of project coordination. In this role, you'll play a critical part in keeping mechanical construction projects organized, compliant, and moving forward , supporting Project Managers, Engineers, Superintendents, and field teams from preconstruction through project closeout. What You'll Do Project & Document Control Provide day‑to‑day administrative and coordination support to Project Managers and Project Engineers Maintain complete and accurate project records, including drawings, specifications, RFIs, submittals, and change documentation Track, distribute, and manage updated drawings, sketches, and revisions to ensure field teams always have current information Upload, organize, and maintain documents in project platforms such as Procore, SharePoint, and Bluebeam Coordination & Communication Prepare and distribute meeting agendas, meeting minutes, and project correspondence Manage submittal and RFI logs, ensuring timely routing, tracking, and follow‑up Serve as a key communication bridge between project management, field supervision, fabrication teams, vendors, and subcontractors Coordinate site access documentation, badges, onboarding paperwork, and safety requirements Project Support & Closeout Assist with tracking schedules, material procurement logs, and delivery dates Support change order documentation, labor tracking, and basic cost reporting Play a key role in project closeout, including assembling O&M manuals, as‑built drawings, warranties, and turnover packages Help ensure compliance with owner, GC, and internal documentation standards What We're Looking For Required Experience & Skills 2+ years of experience as a Construction Administrator, Project Coordinator, or Project Assistant (Experience range of 1-5 years considered) Prior experience supporting mechanical construction projects (HVAC, plumbing, piping, or industrial) Solid understanding of construction documentation: drawings, RFIs, submittals, and specifications Proficiency with Microsoft Excel, Word, and Outlook Hands‑on experience with Procore and Bluebeam Strong organizational skills and attention to detail Ability to manage multiple priorities and deadlines in a fast‑moving environment Clear written and verbal communication skills Nice to Have Experience with AutoCAD or Revit Familiarity with piping systems or mechanical construction workflows Exposure to construction project management concepts OSHA 30 certification (or willingness to obtain) Coursework or degree in Construction Management or Mechanical Engineering Work Environment This position supports a large mechanical construction project involving piping and equipment installation as part of a major campus expansion. You'll work primarily in an office and site‑office setting, collaborating closely with field teams, fabrication shops, and subcontractors. The team relies heavily on Procore and Bluebeam , along with Microsoft Office and construction design tools. Pay and Benefits The pay range for this position is $65000.00 - $85000.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
