About the Role Within twelve months, you are the person site contacts and vendors call first. Dates and times are confirmed without chasing. Our internal platform boards, including a rental rate database covering vendors like Sunbelt, United Rentals, and Bay Crane, are current within twenty-four hours of any change, and project managers trust the data because you keep it clean. What You'll Do Serve as the daily point of contact for jobsite contacts: confirm access, dates, times, and requirements, and communicate changes to the team immediately. Enter and maintain data in monday.

vendor quotes, rental rates, delivery fees, job status, and document uploads.
Execute day-to-day trucking scheduling:
confirm pickups, deliveries, and paperwork (COIs, permits, tickets) with the carriers selected by the Senior Planner/Estimator. Organize project documentation so anything can be found in under a minute.
Flag discrepancies:
quote versus invoice, schedule conflicts, and missing paper work to the Division Project Manager before they become problems. What We're Looking For Two or more years in an administrative, dispatch, scheduling, or project coordination role (construction, logistics, equipment rental, or trades environment preferred).
Strong phone and email communication:
professional, prompt, and unafraid to follow up. Proficiency with spreadsheets and cloud software; able to learn our internal platform quickly. High attention to detail with data entry accuracy.
Preferred:
Prior monday.com, Procore, or CRM experience. Familiarity with equipment rental terminology (rates, freight, delivery windows). Experience working with field crews or dispatchers.
Compensation & Benefits Pay:
$55,000 - $65,000 ($26 - $31/hr), based on experience. Health benefits and paid time off. Phone and laptop provided. Growth path into assistant PM or senior coordinator as the division scales.
