Job Description

Ronyak Paving is a well-established leader in asphalt paving and roadway construction throughout Northeast Ohio. The company prides itself on delivering high-quality projects while maintaining strong communication between field operations and back-office teams. We are seeking a Project Coordinator to support Project Managers and assist in the day-to-day operations of active projects. This role is critical to ensuring projects run efficiently, billing and collections stay on track, and communication flows seamlessly between the field, office, and leadership. The ideal candidate is organized, detail-oriented, and eager to grow within a fast-paced construction environment.
What You'll Do:
  • Support Project Managers with daily project operations, reporting, and administrative tasks
  • Assist with billing, collections, invoicing, pay estimates, force accounts, and change orders
  • Compile and organize documentation including receipts, invoices, and supporting project materials
  • Help manage early-stage A/R and collections; provide updates to accounting and PMs
  • Assist with ODOT reporting requirements (DSR, CML, etc.)
  • Coordinate with Contract Administration to ensure contracts, budgets, and bid conformance are in place prior to project start
  • Assist in project setup, including pre-construction meetings and scheduling coordination
  • Maintain and update project schedules; support future use of Microsoft Project and Primavera
  • Collaborate with estimating team on bid setup, takeoffs, subcontractor pricing, and DBE requirements
  • Support material purchasing efforts and ensure timely submission of purchase orders
  • Send daily schedules to suppliers and coordinate material logistics
  • Verify field timecard submissions, safety huddles, and weekly toolbox talks for accuracy and completion
  • Maintain company systems such as Equipment Watch and assist with HCSS-related processes
  • Identify opportunities for process improvement and assist in developing Standard Operating Procedures (SOPs)
  • Cross-train in dispatch operations and internal systems (e.g., Square9)
  • Support recruiting efforts as needed
What You'll Need:
  • General understanding of construction, preferably asphalt paving, milling, or roadway work
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Effective communication skills with both field personnel and office teams
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Teams, etc.)
  • Familiarity with construction software (HeavyBid, HeavyJob, HCSS, E360, Concur, etc.) is a plus
  • Ability to understand financial documents, contracts, and ODOT specifications
  • Basic computer and typing skills
  • Team-oriented mindset with a strong work ethic and willingness to learn

Pay:
$55,000.00 - $75,000.00 per year
