This position serves as the primary operational liaison between clients, laboratory personnel, quality personnel, and field staff to ensure projects are executed efficiently, accurately, and in accordance with established timelines, quality requirements, and regulatory expectations. The Laboratory Project Coordinator is responsible for taking ownership of assigned projects immediately upon receipt of a client purchase order or project authorization. This individual will ensure all required materials, protocols, documentation, controls, equipment, personnel, and logistical elements are in place so that laboratory activities proceed efficiently and quoted turnaround times are achieved. This role requires exceptional attention to detail, strong organizational skills, and the ability to coordinate multiple projects simultaneously while maintaining compliance with

quality requirements and applicable industry standards. Key Responsibilities Project Coordination & Client Management Serve as the primary project coordinator for assigned client programs and testing projects. Review incoming purchase orders, quotations, project requests, and statements of work. Establish project timelines and coordinate activities across laboratory departments. Maintain regular communication with clients regarding project status, scheduling, deliverables, and required documentation. Coordinate project kick-off activities and ensure all project requirements are clearly understood by internal teams. Track project progress and proactively identify potential delays or bottlenecks that could impact turnaround times. Laboratory Operations Coordination Ensure laboratory analysts and technical personnel have all required materials, test articles, protocols, equipment, controls, and supporting documentation necessary to execute testing activities. Coordinate testing activities to maximize efficiency by identifying studies or test phases that can be performed in parallel. Maintain project schedules and laboratory workload planning. Facilitate communication between laboratory analysts, scientists, management, and quality personnel throughout project execution. Verify that all required testing activities, controls, and study elements are accounted for prior to study initiation. Quality & Compliance Oversight Collaborate closely with the Quality Manager and technical staff to ensure projects meet

requirements and applicable regulatory expectations. Verify that all required records, logs, traceability documentation, forms, and supporting evidence are properly generated and maintained. Review project documentation for completeness, consistency, and compliance. Assist in identifying applicable standards, guidance documents, and compliance pathways relevant to specific device types, validation activities, or healthcare system monitoring programs. Support audit readiness and continuous quality improvement initiatives. Validation & Technical Program Support Coordinate microbiological, chemical, cleaning validation, sterilization validation, water quality, environmental monitoring, and related laboratory programs. Work with technical subject matter experts to ensure appropriate study plans, protocols, reports, and supporting documentation are prepared. Assist in tracking study milestones, deliverables, and client commitments. Ensure required controls, acceptance criteria, and supporting evidence are incorporated into project documentation. Water Quality Monitoring Program Coordination Coordinate routine water quality monitoring and field sampling programs. Schedule field sampling activities and coordinate logistics with client facilities and field personnel. Manage sample shipment and chain-of-custody activities. Track laboratory testing status and ensure timely reporting of results. Support ongoing management of healthcare water quality monitoring programs and related compliance activities. Qualifications Required Qualifications Bachelor's degree in Biology, Microbiology, Chemistry, Life Sciences, Quality Systems, Engineering, Healthcare Administration, or related field. Strong organizational and project management skills. Exceptional attention to detail and documentation accuracy. Excellent written and verbal communication skills. Ability to manage multiple projects and competing priorities simultaneously. Proficiency with Microsoft Office applications, project tracking systems, and electronic document management systems. Preferred Qualifications Experience working within an
ISO/IEC 17025, ISO
13485, GMP, GLP, FDA-regulated, or accredited laboratory environment. Knowledge of microbiological testing, chemical testing, validation studies, or healthcare water quality programs. Experience coordinating laboratory operations, quality systems, or regulatory compliance activities. Familiarity with medical devices, healthcare systems, sterilization, cleaning validation, environmental monitoring, or water quality testing. Experience with quality documentation, CAPA systems, audits, and traceability requirements.
