Job Description

Job Summary We are seeking an organized, highly proactive Event and Special Projects Coordinator to lead the end-to-end planning, strategy, and seamless execution of our portfolio of high-stakes corporate engagements, community activations, and cross-departmental strategic initiatives.

In this role, you will balance rigorous logistical design with broad project management oversight. You will oversee distinct event operations, design event concepts, manage vendor contracts, and ensure cross-functional milestones for special organizational projects are delivered on time and within budget. The ideal candidate is a collaborative problem solver with an exceptional eye for detail, strong negotiation skills, and the capacity to deliver an elevated attendee experience. Key Responsibilities Event Planning & End-to-End Execution Lead full-lifecycle planning , logistical coordination, site selection, and day-of execution for events ranging from intimate executive roundtables to large-scale conferences and community outreach initiatives. Develop distinct event concepts and premium guest journeys tailored to align with overall business objectives and brand strategies. Oversee live on-site execution , supervising room layouts, catering, audio-visual setups, registration flows, and breakdown logistics. Formulate post-event evaluations , tracking attendance metrics, key performance indicators (KPIs), and financial ROI reports for senior management. Special Projects Management Orchestrate cross-functional timelines for organizational initiatives outside of traditional events, serving as the central project manager for multi-department workflows. Create repeatable playbooks , templates, and standardized tracking systems to scale operational workflows and maximize team productivity. Mitigate operational risks by proactively mapping out potential bottlenecks and resolving real-time logistical challenges calmly and efficiently. Vendor & Stakeholder Relations Source, vet, and negotiate contracts with venues, production agencies, caterers, and entertainment partners to maximize value and minimize liability. Budgeting & Compliance Build and manage comprehensive budgets , ensuring precise tracking of cost forecasting, invoice processing, and financial reconciliations. Manage venue insurance clearances and legal compliance protocols required to safely execute internal and external corporate gatherings.
Qualifications & Skills Basic Qualifications Experience:
Minimum 2+ years of experience managing events or working in hospitality .
Education:
Bachelor's degree in a related field or extensive experience in the hospitality or event coordination field .
Software Proficiency:
Experience utilizing Microsoft Office Suite (Excel, PowerPoint, Word) and project management applications (such as Asana, Trello, or Smartsheet).
Preferred Skills & Core Competencies Communication:
Exceptional written communication and presentation abilities, comfortable interfacing with senior executives, sponsors, and community leaders.
Vendor Management:
Strong contract assessment capabilities with a proven history of negotiating highly favorable vendor terms.
Organization:
Elite multitasking abilities, capable of driving multiple high-stakes timelines and projects concurrently without sacrificing quality.
Certifications:
Project Management Professional (PMP) or Certified Meeting Professional (CMP) credentials are a distinct advantage.
