Project Coordinator Job Title:
Project Coordinator Overall Responsibility:
Galaxy Stone Works is seeking a highly organized and detail-oriented Project Coordinator to support the successful execution of countertop fabrication and installation projects. This role acts as the central point of coordination between sales, production, installation teams, vendors, and clients. The Project Coordinator ensures projects move efficiently from contract through installation by managing schedules, tracking progress, and maintaining clear communication across all parties.Job Responsibilities:
- Answer telephone calls and assist customers
- Update managers by consolidating, analyzing, and forwarding daily action summaries.
- Handle orders, complaints, and other inquiries
- Project Coordination & Scheduling Coordinate project timelines from sale through final installation Schedule templating, slab layout, fabrication, and installation Ensure all project milestones are completed on time Adjust schedules as needed based on project changes
- Communication Management Serve as a primary point of contact for clients, contractors, and internal teams Provide project updates and schedule confirmations Communicate changes, delays, or issues proactively Coordinate between sales, production, and installation teams
- Documentation & Systems Management Maintain accurate and organized project files Ensure all required documentation is complete, including: Contracts , Change orders, Slab layouts, Job notes and specifications, Update project statuses and notes in company systems
- Material & Resource Coordination Verify material availability and slab reservations Coordinate sink and accessory procurement Ensure all materials and components are ready prior to fabrication and installation Work with vendors and suppliers to confirm timelines
- Task Tracking & Follow-Up Track all active projects to ensure nothing falls through the cracks Follow up on outstanding items such as: Missing approvals, Pending materials, Unconfirmed schedules Maintain a clear understanding of project status at all times
- Issue Resolution Identify potential project risks or delays early Assist in resolving scheduling conflicts, missing information, or material issues Escalate complex issues to management when necessary
- Customer Experience Ensure a smooth and professional client experience from start to finish Respond to client inquiries in a timely and professional manner Help maintain high customer satisfaction and project success
- Answer questions about product or warranties
- Help showroom clients when necessary
- Perform data entry when orders are completed or changed
- Work safely following the workplace safety guidelines
- Maintain a clear and safe work area Job Requirements
- Must be willing and able to work 1-2 Saturdays per month when needed as the showroom is open on Saturday from 10 am to 2 pm
- Must have outstanding attendance record and be on time
- Must be a quick learner and be able to work with other departments
- Must be able to work in a team environment
- Have a friendly and engaging personality
- Must be able to follow and enforce safety guidelines
- Must pass a drug screen and/or background check
