This full-time, onsite, hourly position serves as a key connection between job sites, field personnel, project managers, management, customers, vendors, and internal departments. This role is best suited for someone who is highly organized, responsive, and comfortable managing multiple priorities in a fast-paced environment. The ideal candidate will be able to track active work, maintain accurate project information, coordinate operational needs, and make sure updates and outstanding items reach the right people . Competitive compensation with growth opportunities Weekly pay Medical, dental, vision, PTO, paid holidays, and 401(k) with company match Stable, family-owned manufacturing company with 65+ years in business Key coordination role supporting field operations, project teams, and customers Collaborative environment with regular interaction across Service, Project Management, Operations, and other internal teams Opportunity to improve communication and administrative processes that support successful project execution What You'll Do Serve as a primary liaison between job sites, field personnel, project managers, management, customers, vendors, and internal departments Communicate project updates, field issues, priorities, changes, and other operational information to the appropriate people Monitor the status of active jobs, follow up on outstanding items, and provide progress updates to management Coordinate the flow of information between departments to support daily field and service operations Maintain organized project files, records, reports, meeting notes, and other operational documentation Track project schedules, material requests, action items, and assigned project information, ensuring records are accurate and readily available Respond to routine inquiries from field personnel and internal departments Help coordinate deliveries, materials, equipment, and other operational needs, escalating concerns to the appropriate manager when necessary Support project managers and management with administrative and coordination tasks as assigned Identify opportunities to improve communication, follow-up, and administrative processes Maintain the confidentiality of company and customer information and follow all company safety policies and procedures What We're Looking For Required Qualifications High school diploma or equivalent 3-5 years of related experience in administrative support, operations support, customer service, project coordination, or a similar role preferred Strong organizational, time-management, and prioritization skills, with the ability to coordinate multiple projects and activities at the same time Strong verbal, written, and interpersonal communication skills, with the ability to communicate effectively with field personnel, customers, management, vendors, and internal departments Strong customer service skills and the ability to build positive working relationships Sound judgment and problem-solving skills, including the ability to recognize when an issue should be escalated Strong attention to detail and accuracy in a fast-paced, changing environment Proficiency with Microsoft Office applications Ability to work independently while collaborating effectively with a cross-functional team Ability to maintain confidentiality and handle sensitive business information with discretion Ability to communicate effectively in English, both verbally and in writing Preferred Qualifications Associate degree in Business Administration or a related field Experience supporting field service operations, equipment installations, or project teams Experience using ERP or project management software This Could Be a Great Fit If You Enjoy keeping people, information, and priorities organized across multiple active jobs Communicate clearly and follow through consistently on open items Are comfortable working across field teams and internal departments and can adjust quickly when priorities or project needs change Know when to solve an issue independently and when to involve management Take ownership of accurate documentation, timely updates, and reliable follow-up Bring professionalism, integrity, and a strong customer service mindset to your work Work Environment & Physical Requirements This is an onsite role based primarily in an office environment with frequent interaction with field personnel Work involves frequent sitting, typing, computer use, and communication in person, by telephone, and electronically Occasional visits to production areas, customer sites, or field locations may be required Exposure to manufacturing or construction environments may require the use of appropriate PPE Occasional standing, walking, bending, and lifting up to 25 pounds may be required PPE must be worn in designated areas, and safety procedures must be followed This is a fast-paced environment that requires effective organization, communication, and follow-through All company safety procedures and PPE requirements must be followed in designated production and field areas About CHL Systems For more than 65 years, CHL Systems has been a trusted leader in designing and manufacturing custom automation and material handling solutions.
