Summary:
Wealthspire Advisors is seeking a detail-oriented, proactive, and highly organized Administrative Assistant & Special Projects Coordinator to support the Managing Director in both administrative and client development functions. This hybrid role blends administrative support with coordination of growth and outreach efforts. The ideal candidate excels at anticipating needs, maintaining professional polish, and managing multiple priorities with discretion and efficiency. This position provides a unique opportunity to contribute to the region's strategic growth while supporting the daily activities in a fast-paced and high-integrity environment.
Key Responsibilities:
Administrative Support Manage the Managing Director's calendar, travel arrangements, meeting logistics, and daily priorities. Screen, organize, and respond to internal and external communications. Schedule and support meetings, including agendas, documentation, minutes, and follow-ups. Handle confidential information with professionalism and discretion. Assist with expense reports, scheduling, vendor coordination, and occasional personal logistics. Business Development & Growth Enablement Support the Richmond Office in prospect pipeline management, follow-ups, and relationship development. Coordinate with internal team members in the preparation of customized pitch materials, meeting briefs, and communications for prospective clients and referral partners. Help identify, track, and build relationships with centers of influence (COIs) and other strategic partners. Collaborate with marketing and client experience teams to execute visibility and engagement initiatives. Assist in planning and executing events and campaigns that support local, regional and national growth strategy.
Qualifications:
Bachelor's degree required; experience in business, marketing, finance, or communications a plus 5+ years of experience in administrative support, business development, or client-facing roles Strong written and verbal communication skills, with a professional and polished presence Excellent organizational and time-management abilities; proactive and solutions-oriented High level of discretion and emotional intelligence when dealing with sensitive information Experience in financial services or professional services environments strongly preferred Proficient in Microsoft Office suite; experience with CRM systems (e.g., Salesforce) a plus

The base salary range for this position is $50,000 - $60,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives. Wealthspire and You...
