Office / Field-Based / Customer Homes & Jobsites Position Overview The Assistant Project Manager / Project Runner is a hands-on support position responsible for helping Project Manager(s) and Business Manager keep our projects organized, moving forward, and operating according to company standards. This position combines project management coordination, some jobsite support, quality-control assistance, some material procurement, some customer communication, documentation, and general project running, picking up and delivering supplies and other. The ideal candidate is organized, dependable, proactive, comfortable working at the company as well as in the field, and able to identify problems before they become bigger problems. Primary Responsibilities1. Responsibilities Assist in developing project timelines, schedules, and budgets to ensure timely delivery of objectives Coordinate communication between clients, vendors, and internal teams to facilitate smooth project workflows Manage documentation including reports, meeting notes, and project files using productivity software such as Microsoft Office and spreadsheets Support data entry tasks with accuracy and attention to detail in project management systems and databases like QuickBooks Handle front desk duties including answering multi-line phone systems, greeting visitors, and managing office correspondence Maintain organized filing systems for project documents, contracts, and related materials Provide customer support by addressing inquiries promptly and professionally via phone or email Skills Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Excellent verbal and written communication skills; bilingual abilities are a plus for diverse client interactions Technical proficiency with office management tools such as QuickBooks and multi-line phone systems Demonstrated clerical experience including data entry, proofreading, filing, and document management Exceptional customer service skills with professional phone etiquette and client communication expertise Proven ability to handle multiple responsibilities simultaneously while maintaining high productivity levels Enter jobs into Job Tread, project management software, adding in budgets and create schedules based on contract scope and other templates created.. Assist Project Managers with the day-to-day coordination of active client projects knowing where that project is scheduled to be.. Help verify that work is progressing according to the project schedule. Identify potential delays, conflicts, missing materials, or workmanship concerns and communicate them to the Project Manager. Help coordinate access to homes and jobsites. Help create project work orders and materials take off lists. Assist with project planning, jobsite preparation and project closeout. Help ensure jobsites remain organized, safe, and professional. 2. Materials & Deliveries Pick up and deliver materials, supplies, tools, fixtures, and other items needed for projects. Coordinate material deliveries with vendors and jobsites. Verify deliveries against purchase orders or project requirements. Inspect materials for obvious damage or shortages before they are installed. Notify the Project Manager immediately of missing, damaged, incorrect, or delayed materials. Maintain an organized system for project materials and returns. 3. Trade & Subcontractor Coordination Assist the Project Manager with scheduling trades and subcontractors. Confirm that subcontractors have the information, materials, and access necessary to perform their work. Confirm that the company has all necessary subcontractor agreements and documents prior to starting work. Communicate schedule changes and jobsite needs as directed by the Project Manager. Help monitor subcontractor arrival, progress, and completion. Report any concerns regarding workmanship, schedule, cleanliness, or customer interactions. 4. Project Documentation Maintain accurate project information within JobTread and other company systems.
Responsibilities may include:
Updating client signed agreements Uploading blueprints, site maps, surveys, other project materials. Documenting jobsite conditions. Tracking deliveries against budget / PO orders. Recording project issues. Updating task status for crew assignments prior week.. Documenting customer requests and following through to appropriate leadership.. Maintaining project checklists. Assisting with change-order documentation. Helping maintain accurate project records from start through completion. Take jobsite photos and upload required documentation into the company project management system. 5. Customer Support The Assistant Project Manager / Runner may have direct contact with customers and is expected to represent All Service Specialists professionally at all times.
Responsibilities may include:
Communicating professionally with homeowners. Relaying customer concerns to the Project Manager. Following up on items assigned by the Project Manager. Helping prepare the customer and jobsite for upcoming work. Helping to provide a professional, courteous, and solution-oriented customer experience. 6. Quality Control Assist the Project Manager with maintaining company quality standards.
This includes:
Ensure tasks are completed on time and on budget and to scope.. Photographing ongoing and completed work. Reporting concerns immediately rather than allowing problems to continue Helping coordinate corrections. 7. Project Closeout Assist the Project Manager with completing projects, including: Punch-list coordination and finalization.. Final jobsite cleanup coordination. Customer walkthrough preparation. Documentation completion. Warranty information. Return of unused materials. Final project checklist completion. Final photography. Customer satisfaction signature on job completion. Daily Responsibilities A typical day may include: Review assigned projects and priorities with the Project Manager using Job Tread.. Check JobTread for tasks, schedule changes, and project needs current & upcoming.. Possibly assistant in jobsite visit. Assist in ordering materials, pick up and delivery. Prepare vehicles to be ready to go out on jobs prior to the morning. Check materials and jobsite readiness. Coordinate or confirm deliveries. Communicate with subcontractors and vendors as needed. Report project issues to the Project Manager. Keep JobTread current and updated daily. Complete assigned project-management tasks. Prepare for the following day's work. Performance Expectations Success in this position will be measured by: Projects staying organized and moving forward. Accurate and timely JobTread updates. Timely identification of project issues. Materials being available when needed. Effective communication with trades and vendors. Quality and completeness of jobsite documentation. Jobsite cleanliness and professionalism. Customer satisfaction. Ability to follow company processes. Reliability and responsiveness. Ability to anticipate project needs rather than simply react to problems. Qualifications Required 1-3 years of residential remodeling, construction, maintenance, or project coordination experience. Ability to travel between jobsites, vendors, and the office. Excellent understanding and use of Job Tread, Google suites. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with spreadsheets for data management Strong organizational skills/communication skills. Comfortable working in active residential remodeling environments. Ability to use various computer applications and programs. Ability to lift over 50lbs and transport typical construction materials and supplies to job sites. Professional appearance and customer-service mindset. Experience working with subcontractors or trades. Basic understanding of residential construction. Experience with project management software. Construction estimating or project management experience. Excellent verbal and written communication skills; bilingual abilities are a plus for diverse client interactions Valid driver's license and reliable transportation.
Pay:
$45,000.00 - $50,000.00 per year
