Executive Operations Coordinator Location:
Santa Clara / Los Altos, CA (Hybrid Remote + In-Person) About Lucid Behavioral Health Lucid Behavioral Health is a rapidly growing outpatient psychiatry practice focused on delivering thoughtful, high-quality psychiatric care through a modern and systems-oriented approach. The practice is currently expanding into: Insurance-based outpatient psychiatry Medicare enrollment Spravato (esketamine) treatment SEO and digital growth infrastructure Future multi-provider and multi-location expansion across California We are seeking a highly organized, calm, and systems-oriented operational partner who can help transform a founder-led practice into scalable operational infrastructure. This is not a traditional assistant role. This role is ideal for someone who: Naturally creates order from complexity Enjoys operational clarity Thrives in fast-moving environments Proactively follows through without reminders Can think several steps ahead Wants to help build something meaningful long-term Position Overview The Founder's Operations Partner will function as the operational extension of the founder and help coordinate execution across all areas of the business. You will help create the systems, accountability structures, workflows, and operational organization that become the foundation for future growth.
This role combines elements of:
Executive Assistant Operations Coordinator Project Manager Chief-of-Staff-style Support Healthcare Operations The ideal candidate is calm under pressure, highly detail-oriented, emotionally mature, operationally driven, and capable of managing many moving parts simultaneously without becoming overwhelmed. ResponsibilitiesOperational Coordination Track and manage ongoing business initiatives and unresolved tasks Create and maintain operational dashboards and trackers Coordinate timelines and follow-ups across multiple projects Ensure operational "open loops" are closed consistently Vendor & Project Management Coordinate with billing, credentialing, SEO, office vendors, consultants, and contractors Follow up proactively without requiring reminders Track deadlines, deliverables, contracts, and ongoing projects Executive Support Organize priorities and reduce founder cognitive load Prepare structured executive summaries and weekly updates Help prioritize urgent versus important tasks Maintain operational organization across communication channels Systems & Process Development Build SOPs and recurring workflows Improve operational efficiency Help develop scalable infrastructure for future clinic growth Organize documentation and operational knowledge Office & Clinical Operations Support Assist with physical office launch coordination Help coordinate Spravato implementation workflows Assist with Medicare operational organization Support front-end operational systems as the practice grows Ideal Candidate You may be a strong fit if you: Naturally notice what is unfinished Follow up persistently and professionally Enjoy organizing ambiguity into structured systems Remain calm while others become overwhelmed Think proactively rather than reactively Are highly reliable and detail-oriented Communicate clearly and concisely Can operate independently without constant oversight Genuinely enjoy operational excellence Preferred Background Experience in one or more of the following: Startup operations Executive Assistant to a Founder or CEO Healthcare operations Private practice operations Project management Chief of Staff support Fast-paced service businesses Operational coordination roles Healthcare experience is helpful but not required if operational capability is exceptional. Expected initial range:
Approximately $40-$75+ per hour depending on structure and experience OR Approximately $60,000-$120,000+ annually depending on role scope and growth trajectory We are willing to invest significantly in the right person who can meaningfully improve operational execution, organization, scalability, and founder leverage. This role has strong long-term growth potential into broader operational leadership as the organization expands.
