About Us Avail Technical Design Group (ATDG) is a growing building design and technical consulting firm specializing in commercial and residential permit plan development, project coordination, field verification, code compliance, structural design support, and consultant coordination. We work with developers, contractors, investors, municipalities, architects, engineers, and property owners to move projects efficiently from concept through permitting. As our company continues to grow, we're looking for an Operations & Project Coordinator who can become a trusted extension of the Founder and help manage both our clients and internal operations. Position Summary The Operations & Project Coordinator serves as the primary coordinator for client communication, project administration, consultant coordination, and daily business operations. This role requires someone who can confidently lead meetings, communicate professionally with clients and consultants, understand construction projects, and independently manage multiple priorities with minimal supervision. The ideal candidate enjoys solving problems, organizing projects, and building relationships while supporting a fast-paced startup environment. Primary ResponsibilitiesProject Coordination Coordinate multiple projects from kickoff through completion. Schedule and lead client meetings when needed. Gather project requirements and define the scope of work. Document meeting notes and action items. Coordinate architects, structural engineers, MEP engineers, surveyors, and other consultants. Track project schedules, deadlines, and deliverables. Follow up with clients and consultants to keep projects moving. Monitor project progress and communicate updates to the Founder. Client Relations Serve as a professional point of contact for clients. Answer incoming business calls and emails. Conduct discovery calls with prospective clients. Understand client goals and identify project needs. Explain ATDG's services and project process. Assist in preparing project proposals and contracts. Maintain excellent client relationships throughout each project. Operations Maintain Zoho CRM and Zoho Projects. Organize OneDrive, Microsoft Teams, and project files. Prepare invoices and assist with project billing. Coordinate calendars and meeting schedules. Maintain project documentation. Improve internal workflows and procedures. Business Development Attend networking events and industry meetings. Represent ATDG professionally. Assist with marketing initiatives. Support proposal development for RFQs and RFPs. Build relationships with developers, contractors, municipalities, and consultants. Required QualificationsExperience 3+ years of experience in the Architecture, Engineering, and Construction (AEC) industry. Experience coordinating construction or design projects. Strong client-facing communication skills. Technical Knowledge Candidates should have working knowledge of: Commercial construction processes. Residential construction. Building permit processes. Construction documentation. Project coordination. Knowledge of the following is preferred: International Building Code (IBC) International Residential Code (IRC) Accessibility requirements (ADA) Local permitting and zoning processes Building departments and AHJs Technology & Work Environment Must have reliable high-speed internet and a professional home office suitable for client meetings. Must be comfortable using a computer for extended periods and working in a cloud-based environment (Microsoft 365, Zoho, Teams, etc.). Access to a reliable personal computer (Windows or macOS) is preferred. Candidates should indicate their primary operating system (Windows or macOS) and the equipment they currently use for remote work.
