Job Description
Preconstruction Specialist BuildX | Hybrid (Carver, MA area) BuildX is growing quickly, and we're looking for a highly organized, proactive Preconstruction Specialist to support our preconstruction team as we scale our ADU (Accessory Dwelling Unit) business across Massachusetts. This role is ideal for someone who thrives on organization, communication, and keeping projects moving forward. You'll play a key role in the early stages of every project—helping coordinate clients, manage documentation, and ensure nothing falls through the cracks.
Hybrid role:
Some remote flexibility, with regular in-person collaboration required in or near Carver, Massachusetts. What You'll Do Client & Communication Management Serve as a key point of contact for client correspondence throughout preconstruction Manage and organize email communication, ensuring timely responses and follow-ups Conduct weekly client follow-ups to keep projects progressing Support a smooth and professional client experience from initial engagement through permitting Preconstruction Coordination Help keep all preconstruction projects on track, organized, and moving forward Coordinate selections planning and track client decisions Assist in preparing and assembling proposals and preconstruction documents Maintain accurate records of all project activities, communications, and documentation Take detailed notes during meetings and distribute clear action items Permitting & Approvals Assist with pulling permits and organizing submission materials Track zoning, permitting, and approval processes Attend planning board meetings as needed and document outcomes Ensure all paperwork is complete, accurate, and submitted on time Project Organization & Tracking Maintain organized digital project files and systems Track key milestones, deadlines, and next steps across all preconstruction projects Keep internal teams aligned and updated on project status Identify bottlenecks early and proactively follow up to keep progress moving Team Support & Accountability Support the preconstruction team with administrative and coordination tasks Ensure all documentation, notes, and communications are clearly recorded and accessible Help enforce process consistency and organization across projects Act as a central hub to keep the team informed, aligned, and accountable What We're Looking For Strong organizational and time-management skills Excellent written and verbal communication Detail-oriented with strong follow-through Ability to manage multiple projects at different stages simultaneously Comfortable in a fast-paced, evolving environment Proactive mindset—anticipates needs and solves problems before they escalateBonus:

This position is primarily road-based and will require regular travel to job sites as well as occasional in-person meetings in Carver, MA.
