Job Title:
Project Coordinator - Energy and Utilities ProgramsJob Description This role provides comprehensive project coordination support to a program management team overseeing large‑scale operational and reliability initiatives in the energy and utilities sector. The Project Coordinator manages project documentation, supports contract budgeting and reporting, and prepares executive‑level materials using tools such as SAP and Primavera P6. This position is ideal for a detail‑oriented professional with strong written communication skills and prior experience supporting project or program managers in utilities or public works environments. Responsibilities + Provide project coordination support to a program management team of approximately 10 program managers across multiple large‑scale programs, including operational initiatives and reliability capacity projects. + Assist project and program managers by scheduling meetings, preparing agendas, and coordinating logistics to ensure efficient project execution. + Update and maintain project plans and schedules, ensuring that all milestones, tasks, and dependencies remain current and accurate. + Support information collection and data validation activities, ensuring accuracy and completeness of project data used for reporting and decision‑making. + Manage document control for project artifacts, including contracts, reports, presentations, and status updates, following established standards and procedures. + Prepare, format, and distribute project status reports, dashboards, and executive‑level presentations that clearly communicate progress, risks, and key metrics. + Facilitate clear and effective communication among project stakeholders by drafting correspondence, summaries, and updates suitable for executive review. + Support project‑related training activities and communications, including the preparation of training materials and coordination of training sessions. + Monitor and support reporting on contract key performance indicators (KPIs), milestones, and deliverables, helping ensure compliance with contractual obligations. + Utilize SAP and Primavera P6 to support program contract budgeting, spending tracking, and financial reporting, working closely with project managers and engineering teams. + Leverage MS Project, Visio, Excel, and Word to manage project artifacts, create visual process flows, and produce professional‑quality documentation and reports. + Coordinate the collection and management of specific reporting data pulled from systems such as SAP and Primavera P6 to support financial and operational goals. + Ensure all written communication, including reports and presentations, meets professional standards and is appropriate for executive‑level audiences. + Collaborate with cross‑functional teams, including engineering and project management, to support consistent, accurate, and timely reporting on program performance. Essential Skills + 2-3+ years of project coordination experience, preferably within utilities or public works environments. + Demonstrated experience providing project coordination support to project or program managers, including scheduling, documentation, and communication. + Experience with SAP or Primavera P6, particularly in support of project or program budgeting and reporting activities. + Strong written communication skills, with the ability to prepare clear, concise, and professional documentation for executive‑level audiences. + Proven experience preparing executive‑level project documentation such as status reports, dashboards, and presentations. + Experience monitoring and reporting on contract KPIs, milestones, and deliverables. + Proficiency with MS Project for managing project plans and schedules. + Proficiency with MS Visio for creating process flows and visual documentation. + Advanced skills in MS Excel for data analysis, tracking, and reporting. + Proficiency with MS Word for creating and formatting professional project documents. + Ability to manage multiple tasks and deadlines across concurrent projects while maintaining high attention to detail. + Comfort with participating in standard pre‑employment onboarding processes, including drug testing as required. Additional Skills & Qualifications + Prior experience supporting large‑scale programs such as operational initiatives or infrastructure reliability projects. + Background in utility, energy, or public works organizations, particularly in project or program support roles. + Experience working with program contract budgeting and financial tracking in collaboration with project managers and engineering teams. + Familiarity with KPI reporting, including designing or maintaining KPI dashboards and reports. + Strong organizational skills and the ability to maintain structured document control systems. + Ability to communicate effectively with stakeholders at all levels, including technical teams and executive leadership. + Strong analytical mindset with the ability to validate data and identify discrepancies in project or financial information. + Interest in long‑term opportunities, with the potential to transition from contract to full‑time employment. Work Environment This role is based at a headquarters location in Bellevue, WA, operating in a hybrid work model that combines on‑site presence with remote work. The team supports large‑scale energy and utilities programs focused on operational initiatives and reliability capacity, and works closely with project managers and engineering professionals. Daily work involves extensive use of SAP, Primavera P6, MS Project, Visio, Excel, and Word to manage project documentation, schedules, and financial reporting. The position is structured as a 24‑month contract with the possibility of conversion to a full‑time role, and includes paid time off and holiday pay during the contract term. Job Type & Location This is a Contract position based out of Bellevue, WA. Pay and Benefits The pay range for this position is $27.00 - $32.00/hr.
