Job Description

Job Summary:
In this role, you will support the coordination and execution of residential and commercial restoration projects involving water, fire, mold, storm, and reconstruction services. You will work closely with project managers, estimators, field technicians, subcontractors, customers, and administrative staff to ensure projects are completed efficiently, professionally, and according to company standards. This position requires strong organization, communication, problem-solving ability, and the ability to maintain exceptional customer service during challenging situations. The Project Coordinator plays a key role in supporting project workflow, maintaining documentation, coordinating schedules, and helping ensure a positive customer experience throughout the restoration process.
Duties and Responsibilities:
Support the Project Management and Estimating teams in building and maintaining client relationships. Assist in developing and implementing project plans, including quality assurance, safety, staffing, and procurement plans. Maintain organized project documentation and filing systems. Support contract execution and change order processing. Assist in preparing scopes of work for subcontractors and vendors. Coordinate subcontractor and supplier prequalification and registration requirements. Assist with bid solicitation and contractor selection processes. Coordinate jobsite mobilization, demobilization, and project setup activities. Help secure permits, inspections, and project compliance requirements. Support project scheduling, budgeting, cost tracking, and reporting activities. Assist with work breakdown structures (WBS) and project accounting systems. Monitor project progress and communicate scheduling updates or delays. Assist with project review meetings, record meeting minutes, and distribute updates. Support audits related to safety, quality, progress, and financial performance. Process subcontractor and supplier invoices and maintain supporting documentation. Maintain subcontractor documentation, coordination, and compliance tracking. Assist with project closeout documentation, turnover records, and warranty administration. Coordinate daily communication with customers regarding project schedules, timelines, and updates. Schedule technicians, subcontractors, inspections, and vendors as needed. Maintain accurate records of customer communication and project activity. Deliver excellent customer service and maintain client satisfaction throughout the project lifecycle. Communicate effectively with field staff and administrative teams for seamless project coordination. Perform additional duties as assigned in support of company operations.
Required Skills and Abilities:
Clean background check and driving record Professional references from former supervisors 2+ years of construction, restoration, project coordination, or construction management experience preferred Basic knowledge of building construction and restoration processes preferred Excellent written and verbal communication skills Strong organizational, multitasking, and problem-solving abilities Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Experience with project management, scheduling, document control, or cost tracking software preferred Ability to manage large volumes of work in a fast-paced environment Ability to communicate with empathy and professionalism while assisting customers experiencing property loss Desire to grow professionally and advance skillset Ability to flex schedule and/or work overtime as needed
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer. Regular communication with customers, vendors, subcontractors, and field staff. Occasional travel to project sites, including exposure to construction and restoration environments. Must be able to lift up to 25 pounds at a time. Must be able to safely navigate active job sites, including uneven terrain or partially built environments. #
INDY Pay:
$23.00 - $28.00 per hour
