Job DescriptionThe Project Coordinator, Customer Support is an integral member of the customer support organization. Committed to providing excellent customer support, is responsible for critical communication with our customers and technical departments in the generation of customer estimates, proposals, and service orders: follow-up and review with customers (both internal and external), processing purchase orders to vendors when needed and invoicing based on actual time and material. Coordination includes interfacing with external and internal customers, to determine requirements, communication with technical departments and field service personnel, estimating and service project generation.
ResponsibilitiesMaintain excellent customer relationships by communicating with the customer concerning their inquiries and concerns in a timely manner, with accuracy and professionalism.
Work with sister companies and internal technical personnel to define solutions; generate estimates and proposals for submittal and discussion with customers. Continually follow up with customers and technical groups informing them of status of proposals and to clarify additional details that may be required.
Assist in setting up new service projects in terms of invoicing, purchase order generation.
Generate & process service support orders, proposals and estimates while remaining flexible to shifting priorities.
Generate and manage purchase orders to vendors, coordination of invoices.
Review estimated versus actual for projects, including reviewing and reconciling time sheets and expense reports for field technicians.
Assist with project management activities directly related to Customer Support projects.
Prepare and send out various documents from customer purchase order thru final invoicing.
May be assigned to special projects or required to perform other duties as assigned.
Timesheet reporting via UKG and Expense Reports, currently processed using an excel spreadsheet are a key area this position takes care of.
Compensation range: $60,000.00 - $65,000.00 annuallyThe posted salary range reflects the compensation the company reasonably expects to offer for this position. Actual compensation will not be less than the posted minimum and will be based on multiple factors.
QualificationsRequirements/Skills and AbilitiesFive (5) years of technical Customer support and administrative experience.
Excellent time management /organizational skills.
High degree of accuracy, attention to detailsExcellent verbal and written communicationTechnical aptitude; familiarity and experience with Industrial EquipmentPrevious project coordination experience a plusAdvanced computer skills; including proficiency in the most recent version of Microsoft Word, Excel, Teams and OutlookERP experience is a plus.
Periodically required to work extended hours, as needed.
Office-Based Role (hybrid working schedule): This is a traditional office-based position, focused on administrative and coordination tasks within a project environment, not based on a call center environment.
