This position plays a critical role in accelerating distributions to clients by ensuring liens are submitted, reviewed, audited, negotiated, reconciled, and finalized as quickly and accurately as possible.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Manage the day-to-day lien resolution process across multiple lien categories, including Medicare, Medicaid, Military, and private lienholders. Develop, maintain, and improve workflows to ensure timely submission, review, negotiation, and finalization of liens. Monitor project milestones and identify bottlenecks that may delay lien resolution or client distributions. Coordinate efforts among attorneys, paralegals, contractors, and external vendors involved in lien administration and settlement distribution. Establish andmaintainstandard operating procedures for lien tracking, reconciliation,and reporting. Maintain large and complex datasets using advanced Excel functions, formulas, pivot tables, lookups, and reporting tools. Track key lien metrics, includingrepresentation ofsubmissions, lien requests, conditional payments, negotiations, approvals, and final demand letters. Analyze operational data to identify trends, workload projections, staffing needs, and process improvement opportunities. Create and maintain dashboards and reports to provide leadership with accurate status updates and performance metrics. Conduct quality assurance reviews to ensure data integrity and accuracy across all tracking systems. Oversee tracking and reconciliation of Medicare, Medicaid, Military, and private liens throughout the settlement lifecycle. Monitor responses from lienholders and coordinate follow-up efforts to secure timely resolutions. Collaborate with attorneys and lien resolution professionals to facilitate audits, negotiations, and dispute resolution when necessary. Verify that lien amounts are accurate and properly reflected in distribution calculations. Coordinate the final lien reconciliation process prior to client distributions. Prepare andmaintainmonthlydistribution ofworksheets and supporting reports. Validate settlement awards, attorney fees, expenses, lien amounts, and net client recovery calculations. Ensure all liens are finalized and documented before authorizing clients for distribution. Work closely with accounting, legal, and operations teams to ensure timely and accurate distributions. Recommend and implement process improvements that enhance efficiency, accuracy, and scalability. Develop automated reporting solutions and Excel-based tools to streamline operations. Create staffing forecasts and workload analysis based on lien volume and response trends. Support leadership in resource planning and operational decision-making.
PREFERRED EDUCATION & EXPERIENCE
Bachelor's degree or equivalent professional experience. 2+ years of project management, operations management, legal operations, settlement administration, lien resolution, or related experience. Advanced Microsoft Excel skills. Strong analytical and problem-solving abilities. Experience managing large datasets with a high degree of accuracy. Exceptional organizational skills and attention to detail. Ability to manage multiple projects and deadlines simultaneously. Experience with Medicare, Medicaid, Military, or private lien resolution. Experience in mass tort, personal injury, settlement administration, or legal operations. Knowledge of settlement distribution processes and reconciliation requirements.
