Summary:
The Project Manager serves as a strategic and operational partner to the Strategic Meetings & Engagement team within US Commercial Operations, responsible for designing, delivering, and scaling efficient, data driven processes across the full lifecycle of meetings and events.
This role blends project management, process optimization, technology enablement, data governance, and vendor management to drive sustainable efficiencies, improve data integrity, and support enterprise scalability.
This is a hybrid role focused on administration execution along with having a strategic operational excellence mindset that leverages automation, best in class tools, and structured governance to reduce manual effort and enable consistent, repeatable outcomes.
Responsibilities:
Operational Excellence & Project Delivery
Lead new Operational Excellence and departmental efficiency initiatives from intake through delivery
Develop and manage project plans, timelines, budgets, and communications for initiatives
Partner with cross functional stakeholders to identify inefficiencies and implement scalable solutions
Drive continuous improvement across processes and technology platforms supporting meetings and events
Own SOP development, documentation, and change management across shared processesTechnology & Platform Leadership
Act as subject matter expert and platform administrator for Smartsheet and related workflow tools
Design and maintain scalable, replicable process flows across the full meeting lifecycle
Lead onboarding, training, and enablement of internal teams and agency partners
Partner with platform developers and vendors as a technology liaison
Oversee SharePoint site maintenance, access governance, audits, and content accuracyData Insights, Governance & Budget Management
Financial coordination for the department, including spend tracking, opening POs, and contract subimssions.
Establish and enforce data governance standards, policies, and operating procedures
Monitor data quality, identify gaps and inconsistencies, and implement preventative solutions
Ensure data accuracy, integrity, and compliance across systems and reportingVendor & Financial Management
Manage vendor relationships, including MSA, ITSA, and SSO coordination
Oversee invoice management for assigned vendors and projects
Partner with Procurement, IT, and Legal to ensure compliant onboarding and renewalsMeasurement, Insights & Sustained Engagement
Lead M&E survey strategy, including question design aligned to enterprise pillars and year over year metrics
Partner with agencies on survey design and reporting decks
Analyze data and operational insights to inform decision making and future optimizations
Act as a driver of change, influencing adoption of new processes and toolsImpact & Deliverables
Creation of scalable, repeatable workflows that reduce manual effort
Improved data quality, governance, and consistency across meetings and events
Enterprise ready SOPs covering technology and shared processes
