Job Description

Robert Half is working with a client seeking a highly organized Project Coordinator to act as the backbone of their production and project workflow. This is an administrative-focused role, supporting a team of sales representatives by driving projects through permitting and ensuring seamless transitions from contract signing to installation.
What You'll Do:
Provide essential support to multiple sales representatives, helping transition projects smoothly from sale to completionGather, organize, and verify all required project documentation and approvalsReview and validate job estimates, project scope, and contracts to ensure accurate setupTrack ongoing projects, monitoring budgets and proactively addressing any potential issuesManage multiple projects simultaneously from design approval through final installationAssist with developing and maintaining project schedules, keeping all deadlines on trackServe as the liaison for subcontractors and vendors (e.g., electricians, crane operators), confirming schedules and coordinating site readinessCoordinate rental and delivery of specialized equipment as needed for installationsResearch, obtain, and submit all required municipal permitsCommunicate with regulatory authorities and attend occasional evening board meetings as neededKeep customers informed throughout design, permitting, fabrication, and installation steps, ensuring their expectations are clear and metTrack materials, production timelines, and maintain detailed project documentationConduct post-installation follow-up to ensure customer satisfaction
