Full-Time/In office $65k - $85k BOE About the Role We're looking for a sharp, organized Mechanical Project Coordinator to support our Mechanical Installation Management team and field crews. In this mid-level coordination role, you'll be a key player in keeping projects on track — from initial planning through final closeout — making sure documentation is accurate, milestones are met, and every stakeholder stays in the loop. If you thrive in a fast-paced, construction-driven environment and know how to juggle competing priorities without dropping the ball, this role is for you. What You'll Do Project & Administrative Support Own project documentation — schedules, scopes of work, change orders, and closeout records Support project planning, startups, and turnover processes Monitor milestones and deadlines, keeping internal teams accountable Prepare status updates, summaries, and project reports Manage tool lists and coordinate material and equipment orders to keep projects moving on schedule Coordination & Communication Act as the go-between for installation teams, project managers, engineers, clients, and suppliers Schedule and facilitate meetings, site visits, and training sessions — including agendas and minutes Assist with supplier coordination and material tracking Change Orders & Cost Tracking Identify and document scope deviations; help prepare change order packages Support budget tracking, invoice review, and cost reporting Safety & Compliance Maintain records of safety meetings, certifications, and incident reports Keep compliance documentation current and audit-ready General Administrative Support Contribute to bid and proposal prep by compiling administrative and cost data Assist with calendars, travel coordination, and reporting Help identify training and development opportunities for installation team members What You Bring Associate's or Bachelor's degree in Business Administration, Construction Management, or a related field (preferred) 2-4 years of experience in project coordination, administrative support, or a similar role Prior experience in construction, mechanical installation, engineering, or an industrial environment strongly preferred Familiarity with project documentation, scheduling, and change order processes Strong organizational skills with the ability to manage multiple priorities simultaneously High proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) A proactive, problem-solving mindset in deadline-driven settings Knowledge of construction safety standards is a plus Experience with conveyor systems or mechanical installation processes is highly desirable If you are interested please upload an up to date resume. #EFS2
