This role works closely with department leadership to understand operational needs, identify improvement opportunities, and translate business challenges into well-defined initiatives that align with CoServ strategic priorities. The Business Solutions Specialist helps ensure technology and process initiatives are properly scoped, prioritized, and coordinated across departments and supporting teams. This role maintains visibility into major initiatives within assigned business areas, helps surface systemic issues impacting operations, and facilitates cross-team collaboration to ensure solutions support the organization's strategic goals. Primary Position Responsibilities Establish and maintain strong working relationships with department leaders and key stakeholders within assigned business areas. Conduct regular meetings with department leadership to understand operational needs, challenges, and improvement opportunities. Serve as a primary point of coordination for business units regarding initiatives that require technology, process improvement, or cross-department collaborations. Evaluate incoming requests and ideas from departments to determine scope, objectives, and alignment with organizational priorities. Help define business outcomes, success measures, and high-level requirements before work enters the formal project intake process. Assist in determination of whether requests represent a project initiative, system enhancement, operational improvement, or training/communication need. Maintain visibility into active and planned initiatives impacting assigned departments. Provide business leaders with updates on initiative status, dependencies, and expected outcomes. Facilitate coordination across business units, IT teams, and other support functions when initiatives or issues span multiple groups. Serve as interim project manager for cross-functional issues outside of the formal project structures, coordinating efforts through resolution. Ensure alignment between operational needs and supporting systems or processes. Complies with established CoServ safety and operating rules, procedures and guidelines including reporting unsafe practices to a supervisor. Complies with established CoServ Information Security Handbook, policies, procedures, and guidelines including reporting suspected information security incidents to Tech Support. Secondary Position Responsibilities Monitor recurring operational or technology related issues impacting assigned departments and identify patterns that may require broader solutions. Escalate systemic issues or trends to appropriate leadership teams to support long-term improvements. Identify opportunities for workflow improvements, automation, or system optimization within assigned business areas. Collaborate with analytics, IT, and business teams to evaluate potential improvements. Assist business units and leadership in identifying future initiatives and maintaining visibility into planned improvements affecting their areas. Support development of forward looking roadmaps aligned with CoServ's strategic priorities. Drive awareness across business units of upcoming initiatives, system changes, and their impact on operations. Coordinate communication and stakeholder alignment related to major initiatives. Performs other duties and activities as directed. Support or perform business analysis activities (e.g., requirements gathering, process documentation) when needed to advance initiatives or fill resource gaps. Supervisory Responsibilities None Position Requirements Experience, Education and Certifications Required Bachelor's degree in Business Administration, Organizational Leadership, Project Management or related field or equivalent work experience. 5 years of experience working cross-functionally with multiple departments to coordinate initiatives or operational improvements. Demonstrated ability to analyze business needs and translate them into structured initiatives or projects. Experience facilitating meetings and working directly with department leadership or stakeholders. Experience, Education and Certifications Preferred Experience working with enterprise technology initiatives or systems that support business operations. Experience with project management. Experience working with IT teams, system implementations, or technology driven business improvements. Skills and Abilities Required Excellent communication and the ability to facilitate structured workshops Ability to translate operational challenges into structured initiatives Ability to think strategically and solve problems Cross-functional collaboration and coordination Ability to prioritize and manage multiple tasks Organizational awareness and initiative prioritization Ability to identify patterns in operational challenges and recommend improvements Must possess personal computer skills and be proficient in Office 365 products including, but not limited to Outlook, Word, Excel, and PowerPoint. Ability to work independently, with minimal supervision Ability to work as a team player Skills and Abilities Preferred None Physical Requirements Operates office equipment such as a computer, telephone, copier, etc. Indoor, office environment. Ability to lift a minimum of 25 pounds. Ability to sit for long periods of time. Requires frequent sitting, standing, walking, bending, and reaching.
