Job Description

Job Summary:
This position requires intermediate level database management and basic understanding of project finances. This will require maintaining quotes, purchase orders, documents, project plans, project reports, project deliverables and vendor management under limited direction of market PM s/RM s and Project Controls Manager. Special projects may be assigned as well as other tasks.
Job Duties and Responsibilities:
Quote entry
  • review PM quotes and estimates and entering the quotes and project budgets into Vista. Ability to identify errors and determine budget risks upfront. Project Creation
  • input the PO information as well as updating any budget information. Works with the PM's to coordinate manpower and updates Field Manager to include assigned techs in the resource section. Understanding cost types and ensuring proper phase set up for projects that will require per diem and credit card charges. PO Creation
  • create PO's to the distribution vendors and subs when needed. Ability to verify project budgets prior to issuing PO s and notifying the project management team of any errors and risks. Validates that the materials have been received against the PO in Vista and follow up with vendors as needed for missing invoices. Vendor Onboarding/Management
  • Works with Supply Chain team to onboard new Vendors/customers/contractors to support the markets.
Follows through the entire process from start to finish. Ensuring all onboarding has been completed prior to the PM team utilizing the vendor/customer/contractor. Ability to maintain good standing with current market vendors/contractors by reconciling open statements and following up on missing items. Vista Management
  • Focus on active projects, quotes and requests updates from the PM to properly adjust dates and budgets. Adds Change orders for existing projects. Strong understanding of budget changes and monthly impact to ensure project/market integrity is maintained. Invoicing
  • gather PO and any closeout documentation from the PM and create the invoice in Vista. Alert the PM team of any possible billing opportunities and provide support in gathering needed close-out documentation. Reporting
  • financial reporting and project tracking as required. Action Items
  • Ability to work independently on open action items and drive to completion. Following up with market and PM teams to meet deadlines. Division Specific Special Tasks
  • Outside of financial database management duties listed above, handling additional tasks that could be assigned such as/but not limited to: close-out package creation/management, permitting, utility locates, spreadsheet management, general office management, etc.
Job Knowledge, Skills, and Abilities:
Knowledge of material orders and tracking. Knowledge of project financials and impacts. Excellent written and oral communication skills. Strong interpersonal skills are essential, as well as having a strong work ethic. Analytical skills be detailed oriented and highly organized, with the ability to prioritize multiple complex tasks. Exceptional Microsoft Office skills, especially MS Excel, Word, and Outlook. NetSuite experience a plus.
Education and Experience:
1-3 years of previous experience as a Project Coordinator. Ability to read and write in English. Associate degree, Real Estate License, or Equivalent Work Experience.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
