Job Description:
Operations Support/Admin (Data Center) Position Summary The Operations Support/Admin (Data Center) provides project coordination and high-level administrative support to data center operations and executive leadership. This role is responsible for managing operational projects, coordinating schedules, and ensuring seamless communication across teams. The position plays a critical role in maintaining organizational efficiency by balancing project oversight with executive support functions such as calendar management, meeting coordination, and reporting.
Key Responsibilities Project & Operations Support:
Coordinate and support operational projects within the data center environment, ensuring timelines and deliverables are met Track project milestones, action items, and dependencies across cross-functional teams (Operations, Facilities, IT, Security) Prepare project documentation, status reports, and executive summaries Assist in process improvement initiatives to enhance efficiency and service delivery Monitor and report on KPIs, SLAs, and operational metrics
Executive & Administrative Support:
Manage complex calendars for senior leadership, including scheduling meetings, prioritizing conflicts, and coordinating across time zones Organize and prepare materials for meetings, presentations, and executive briefings Coordinate internal and external meetings, including logistics, agendas, and follow-ups Maintain accurate records, reports, and documentation for leadership review Serve as a point of contact between executives and internal/external stakeholders
Communication & Coordination:
Facilitate communication between technical teams and leadership to ensure alignment on priorities Track and follow up on key action items from leadership meetings Assist in planning and coordinating operational reviews, audits, and leadership meetings Support vendor coordination, including scheduling, documentation, and communication
Qualifications Education & Experience:
Bachelor's degree in business administration, Operations, or related field (or equivalent experience) 3-5+ years of experience in project coordination, operations support, or executive administration-preferably in a data center or technical environment
Skills & Competencies:
Strong organizational and administrative skills with exceptional attention to detail Experience managing executive calendars and supporting senior leadership Ability to handle sensitive and confidential information with professionalism Strong written and verbal communication skills Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) Familiarity with project tracking tools (Smartsheet, Asana, Jira, or similar) Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment Key Performance Indicators (KPIs) Timely and accurate scheduling and calendar management On-time completion of project milestones and deliverables Executive satisfaction and responsiveness Accuracy and quality of reports and documentation Efficiency of meeting coordination and follow-up execution Work Environment Data center and/or corporate office environment (onsite) Frequent interaction with technical and operations teams May require flexibility to support leadership schedules House 8am-5pm #LI-AL1
