The Project & Administrative Coordinator III serves as a key partner to the Account Management team by providing a blend of administrative, operational, and project coordination support. This role is responsible for ensuring the efficient execution of team activities, client-facing events, open enrollment initiatives, and operational processes through effective planning, organization, and follow-through. The position coordinates travel, expense management, meeting logistics, calendar management, and cross-functional activities while supporting multiple projects and deadlines in a fast-paced environment. The ideal candidate is highly organized, detail-oriented, and capable of balancing administrative responsibilities with project coordination duties to support client service excellence and business objectives. Responsibilities
- Coordinate and manage travel arrangements for Account Management team members, including airfare, hotel accommodations, rental cars, and meeting logistics.
- Prepare, submit, and track expense reports in accordance with company policies and timelines.
- Support the planning, coordination, and execution of Open Enrollment events, client meetings, and benefit education sessions.
- Maintain and manage calendars, meeting schedules, and event coordination for account management leadership and team members.
- Assist with organizing client presentations, materials, meeting agendas, and follow-up action items.
- Coordinate vendor, client, and internal meeting logistics, including conference room bookings and virtual meeting setup.
- Track key enrollment, client, and project deadlines to ensure timely completion of deliverables.
- Maintain accurate records, documentation, and filing systems related to client accounts and account management activities.
- Support the creation, distribution, and tracking of client communications and enrollment materials.
- Monitor and assist with procurement of event supplies, promotional items, and meeting materials for client-facing activities.
- Collaborate with internal business partners to support client service initiatives and operational processes.
- Provide administrative support for account management projects, special initiatives, and reporting needs.
- Assist with coordinating training sessions, team meetings, and department events.
- Serve as a point of contact for logistical and administrative requests from Account Managers and leadership.
- Demonstrate strong attention to detail, organization, and the ability to manage multiple priorities in a fast-paced environment. Required Skills
- High School diploma or GED.
- 3 years experience with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. Strong organizational and project coordination skills.
- Experience coordinating travel and managing expense reporting.
- Excellent verbal and written communication skills.
- Ability to manage multiple deadlines and prioritize competing demands.
- Strong customer service and relationship management skills.
- Ability to work independently while supporting a collaborative team environment.
- High level of professionalism, discretion, and attention to detail. Preferred Qualifications
- Experience supporting Account Management, Client Services, Sales, Benefits Administration, or Operations teams.
- Experience coordinating projects, events, or enrollment-related activities.
- Strong meeting and event planning capabilities.
- Experience working in a healthcare, insurance, or benefits administration environment.
- Ability to identify process improvements and support operational efficiencies.
