This role is essential to keeping our projects running smoothly and ensuring an exceptional experience for our clients from start to finish. About the Role As a Project Coordinator, you will help manage project workflow, track progress, schedule subcontractors and in-house crew members, and maintain clear communication among clients, insurance companies, and our internal team. You will serve as a central point of communication, helping ensure that all stakeholders—including homeowners, insurance carriers, adjusters, subcontractors, and project staff—remain informed throughout the life of the project. The ideal candidate thrives in a fast-paced environment, enjoys problem-solving, and is committed to delivering excellent customer service while maintaining strong organizational skills and attention to detail. Key Responsibilities Provide administrative and operational support to Project Managers. Assist with preparing estimates, project documentation, and job files. Communicate professionally with clients, insurance companies, adjusters, subcontractors, and internal team members. Maintain regular communication with all project stakeholders to provide updates on project status, scheduling, material selections, and any changes or issues that arise. Assist with insurance claim coordination by collecting required documentation, communicating with insurance representatives, and helping facilitate the claims process. Coordinate and track material orders and deliveries. Schedule and coordinate subcontractors and in-house crews to maintain project timelines. Prepare subcontractor agreements and ensure proper documentation is collected. Meet with clients to guide them through material selections, including flooring, paint, cabinetry, and finishes. Monitor job costing and budget tracking for projects. Source and vet reliable subcontractors as needed. Maintain accurate records within company software systems and ensure project files are complete and up to date. Support Project Managers with additional tasks as assigned. Qualifications Experience in customer service and construction; restoration and insurance-related experience is preferred. Experience working with insurance claims, adjusters, or Third Party Administrators (TPAs) is a plus. Familiarity with restoration industry workflows and insurance claim processes is highly desirable. Proficiency in Microsoft Excel and Word; general computer literacy is essential. Strong organizational, technical, written, and verbal communication skills. Ability to manage multiple projects and priorities while maintaining attention to detail. Ability to remain calm, empathetic, and professional while assisting clients who may be experiencing stressful property damage situations. High level of integrity, professionalism, dependability, and ethical judgment. Excellent follow-through, attention to detail, and task ownership. Ability to maintain an organized and clean workspace.
