Job Description
Reports to: Project Manager Safety Expectations Spartan Companies, LLC desires to maintain a strong and effective safety culture. At a minimum it is expected that each employee will understand and effectively utilize Stop Work Authority, comply with all applicable safety rules, regulations and policies, report all incidents (no matter how minor) immediately, participate in Job Safety Analysis discussions, submit weekly safety observations and express gratitude when others prevent you from performing unsafe behaviors or work activities. Description Project Manager Support One of the most important tasks of an Assistant Project Manager is to assist the Project Manager in all job functions laid out by the Project Manager. Anything the Project Manager requests should take priority over your day to day tasks outlined below. As an Assistant Project Manager, you are also responsible to report on job interface between the field. You should always have a good understanding of projects and needs of the field. This job has a wide range of work situations. Duties are performed independently with minimal supervision. The complexity of this job is high with high attention to detail, organization and knowledge of all construction activities is essential. Some decisions are made from established well-known procedures, while others require the incumbent to determine their own practices and procedures. Errors in judgment could affect the company, project owners and employees. Responsibilities Duties and responsibilities include but are not limited to these essential tasks and are subject to change by the employer as needs arise in the company. Lead and Supervise project in all safety matters. Keep the PM informed on all relevant issues: 1. Schedule 2. Changes/omissions in plans and specifications 3. Design and construction detail problems 4. Labor problems/personnel issues 5. Subcontractor problems 6. Budget issues 7. Quality control issues 8. Equipment issues 9. Project inspections and materials testing 10. Environmental issues 11. Any pending issue that could affect the above Maintain a positive relationship with engineer, owner, owner's representative, subcontractors and crews Know the project Have a firm grasp of the schedule. Any time the superintendent walks the site they should be able to determine whether they are on schedule or behind. Know all details on the plan. Know cost and budgets. Be an active participant in review of schedule, weekly labor and reports. Be aware of budgeted productivity vs. achieved productivity. Manage the cost of the work Practice efficiency and ingenuity. Closely manage all direct labor, as it has a direct effect on the bottom line. Help the field staff minimize waste. The amount of waste is a direct measure of how efficient the project team is working. Be a leader in Quality Control. Remain "on board" until punch list is completed in its entirety and there are no remaining issues with the owner and/or architect (when able to request final payment). Understand and work within company policies pertaining to equal employment opportunity, affirmative action and drug and alcohol. Assist with constructability reviews of the plans and specifications. Assist with quantity take-offs and assembly of the budget. Build comprehensive project schedule—solicit feedback from trade supervisors and PM. Issue RFI's to engineer. Define the job physical set-up plan and jobsite security measures. Place orders for all temporary facilities. Create job responsibility matrix with PM, General Superintendent and project staff. Define material handling and hoisting requirements. Review final project budget with PM. Set up and manage Daily Reports. Verify/obtain necessary permits. Coordinate with office for computer, telephone and other data services. Efficient project execution Be the jobsite leader of the Safety Program Hold Daily safety meetings. Always be on the lookout for safety hazards. Walk the site at least once a day with the sole purpose being a safety review. Report all findings to appropriate individual(s). Assure corrections are made. Review and understand prime contract. (Liquidated damages, special conditions etc.) Have a thorough understanding of the scope of all subcontractors and suppliers. Review project responsibility matrix with field staff. Work with PM to maintain the overall CPM construction schedule. Stay abreast of all critical schedule activities and lead items as they change during the course of construction. Prepare 4 week look ahead—review with PM. Hold weekly Foreman coordination meetings. Accurately track project cost and budgets. Track self-performed labor productivity. Review and approve weekly timecards. Review invoices with project manager—ensure coding reflects where the dollars were actually spent. Maintain client relationship. Prepare/process/track jobsite RFI's. Process/track all shop drawings and submittals. Manage subcontractor quality control. Hold product pre-installation meetings with all respective parties. Confirm that all long lead-time materials are ordered and confirm delivery dates. Prepare and maintain superintendent daily reports. Set up the process for disseminating, completing and signing off punch list work. Maintain the as-built drawings—prepare for submission upon completion. Procure final documents and assist with close out process. Others as required from prime contract. Train owners on use of facility. Debrief project on budget, significant issues and lessons learned. Ensure ongoing warranty issues up to and including the One-Year-Warranty are completed promptly and completely. Follow-up with the owner's rep. Job includes full supervisory responsibilities such as: Providing daily work direction Approval of absences and overtime Recommendations and/or approval regarding terminations, pay changes or job changes.
Interpersonal Contacts:
Contacts are made with others both internally and externally. The most frequent contact is made with others in the department and supervisor. External interactions tend to be over the phone and face to face about 80% of the time and the typical customers are other Spartan employees, owner reps and subcontractors. Incumbent typically initiates these contacts and there is some exchange of confidential/sensitive information necessitating discretion. Qualifications Possess solid knowledge of company policies, practices and benefits. Ability to read, speak and understand English. Good communication skills. Capacity to work in a team environment. Ability to read plans. Use discretion as needed with confidential/sensitive information. Physical ability to use telephone, operate computer and keyboard, walk for continuous periods of time on uneven surfaces, climb stairs and ladders and carry/lift items up to 50 pounds occasionally.
