Job Description

Performs intermediate technical and paraprofessional administrative work supporting the planning, coordination, and execution of Parks and Recreation projects, programs, and initiatives. Work includes assisting with project development, tracking schedules, coordinating with internal and external stakeholders, and maintaining project documentation and reporting. Work is performed under general supervision. Level of responsibility and independent work is greater than Administrative Specialist I. Limited supervision may be exercised over support staff or project team members. The hiring range for this position is $21.63/hour to $29.75/hour based on experience. The full salary range for this position is $21.63/hour to $37.86/hour to provide opportunity for growth and development. Provides project coordination and administrative support for Parks and Recreation initiatives including capital projects, maintenance programs, and operational improvements; assists in planning, tracking, and reporting project progress; prepares reports, schedules, and documentation; coordinates communication between departments, contractors, and stakeholders; and may provide limited supervision over support personnel. Assists in planning and coordinating Parks and Recreation projects including park improvements, facility upgrades, and program initiatives. Maintains project schedules, timelines, and tracking tools; monitors progress and identifies potential delays or issues. Coordinates meetings, site visits, inspections, and project-related communications with internal staff, contractors, and external partners. Prepares reports, presentations, and project documentation for leadership, boards, and stakeholders. Assists with procurement processes including tracking quotes, contracts, and vendor communications. Maintains project files, records, and documentation ensuring accuracy and compliance with County standards. Supports budget tracking, invoice processing, and financial documentation related to projects. Collects and organizes data for project reporting, performance tracking, and decision-making. Responds to inquiries from staff, stakeholders, and the public regarding project status and park-related initiatives. Utilizes GIS, asset management systems, or other software tools to support project tracking and reporting as applicable. Comprehensive knowledge of general administrative policies and practices; General knowledge of project management principles and practices. Knowledge of Parks and Recreation operations, facilities, and maintenance activities. Ability to coordinate multiple projects and priorities simultaneously. Ability to analyze information and prepare clear, concise reports and documentation. Ability to communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships with staff, contractors, and the public. Ability to use standard office software and project tracking tools; familiarity with GIS or asset management systems is preferred. Ability to exercise judgment, initiative, and problem-solving in project coordination. Ability to organize and maintain detailed records and documentation. Any combination of education and experience equivalent to high school graduation and 3 years of administrative, project coordination, or related experience. Associate degree or coursework in business administration, project management, public administration, or related field is preferred.
Physical Requirements/Work Environment:
This is primarily sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects. Work requires reaching, grasping, and repetitive motions; verbal communication is required for expressing or exchanging ideas; hearing is required to perceive information at normal spoken levels; visual acuity is required for preparing and analyzing written or computer data and determining the accuracy and thoroughness of work. Work may occasionally involve site visits to parks and facilities. The worker is not subject to adverse environmental conditions.
