Job Description

Resident Services Coordinator The Resident Service Coordinator, under the direction of the Property Manager, assists with the day-to-day operations of the community to ensure that the resident services are compliant with all applicable LIHTC requirements and will also aid the property manager with compliance, financial and occupancy goals. In addition, this position acts as the main point of contact in the absence of the Property Manager.
Essential Job Functions:
  • Greets prospective residents, determines needs and preferences and professionally presents the community and specific apartments while providing features and benefits.
  • Provides excellent customer service and administrative support.
  • Distributes posting or communications to residents as directed.
  • Maintains accurate records in property management software and resident files. Organizes and files all applicable reports, leases and paperwork.
  • Coordinates and executes the resident services program, to meet minimum tax credit compliance requirements.
  • Maintains a Resident Services Compliance Binder documenting each month's calendar and scheduled events/service offerings to include copies of flyers and outreach material.
  • Community outreach and the ability to solicit aid in helping to bring resources to the properties.
  • May assist the property manager in completing all lease applications, assist with application verification and notify prospective residents of results, if warranted.
  • Maintains thorough knowledge of our apartment communities and local market comparable properties.
  • Assists with inspections of units prior to move-in to ensure that they are ready and help property manager with quarterly inspections.
  • Maintains a professional appearance, demeanor and interaction with co-workers, residents, vendors and community, at all times.
  • Meets or exceeds company policies and goals for compliance with Resident Services.
  • Responsible for the thorough knowledge, implementation and enforcement of all policies and procedures of Gateway Management to include the Site Operations Manual, Compliance Manual, Maintenance and Resident Services Policies and Procedures, Safety and Risk Management Policies and Procedures and Marketing and Leasing Policies and Procedures.
  • Works with integrity and ethically while upholding organizational values.
  • Performs other duties as assigned.
Knowledge, Skills and Abilities:
  • Maintains up to date knowledge and implementation of all federal and state guidelines regarding low-income housing tax credit program.
  • Ability to communicate effectively.
  • Understands the resident services budget and works closely with RPM and owner to ensure that it is adhered too.
  • Strong organizational skills and attention to detail.
  • Basic computer skills to include knowledge of Microsoft Suite programs.
  • Ability to effectively work with all types of people.
  • Some knowledge of financial and accounting skills.
  • Strong attention to detail and organizational skills.
  • Must have the ability to manage time effectively to accomplish job tasks in an organized and efficient manner within deadlines set by corporate office, residents and asset managers. This includes responding to emails and telephone calls the same day and preparing reports and documents by set deadlines.
  • Must have the ability to effectively communicate (orally and in writing) in English with employees, service technicians, vendors, community and owners.
  • Must have the ability to formulate, meet and enforce compliance requirements, risk management and company policies.
Experience :
  • High school education or equivalent.
  • Minimum of prior experience as an Assistant Property Manager or one year experience in a customer service related to property management.
Working Conditions and Physical Demands:
  • Normal demands associated with an apartment management office environment.
  • Light to medium work that requires extensive standing, walking, stair climbing, stooping, crouching and lifting up to 20 pounds frequently.
  • Ability to work on computer for long periods, and communicate with individuals by telephone, email and face to face.
  • Ability to inspect and tour the property and meet with residents, vendors, and other employees daily.
  • May require evening and/or weekend work.
