May also assist owners or a board of directors with regulatory compliance or compliance with community association rules. Manages the operation of commercial or residential properties. Oversees the collection of rents and payment of bills, taxes and insurance for properties, and provides property owners with reports on finances and the status of properties. Directs leasing operations, or equipment and machinery rentals, for a company or business. Determines charges and prepares rental or lease agreements; supervises inventory, equipment maintenance and recordkeeping for leasing operations.

Job Description

Overview We are seeking a dynamic and proactive Onsite Manager to lead daily operations at our multif community , ensuring seamless service delivery, operational excellence. The ideal candidate will thrive in a fast-paced environment, demonstrate strong leadership skills, and possess a passion for operational efficiency and talent management. This paid position is perfect for someone eager to make a tangible impact while developing their expertise in onsite management. Responsibilities 1. Leasing & Marketing (Sales & Occupancy) Since there is no dedicated leasing agent, the manager drives all lead conversion and prospect relations:
Lead Management:
Respond to all digital inquiries, phone calls, and guest cards from Zillow, Apartments.com, and social channels within 1-2 business hours.
Tours & Showing:
Schedule and conduct in-person and virtual tours with prospective residents, highlighting unit features, amenities, and neighborhood perks.
Application Processing:
Screen applicants by reviewing credit reports, background checks, income documentation, landlord references, and rental history in accordance with Fair Housing laws.
Lease Execution:
Draft, issue, and finalize lease agreements, collect initial move-in funds (security deposits, first month's rent), and conduct move-in orientations.
Local Marketing:
Monitor market trends, audit competitor pricing weekly, and update listing descriptions, photos, and rent pricing to maintain competitive appeal. 2.
Tenant Relations & Community Management Resident Onboarding & Communication:
Serve as the primary point of contact for resident inquiries, complaints, and general community updates.
Lease Renewals:
Initiate renewal conversations 60-90 days prior to lease expiration, issue renewal offers, and negotiate terms to maximize tenant retention.
Policy Enforcement:
Enforce lease terms, house rules, parking rules, noise complaints, and pet policies consistently across all residents.
Community Standards:
Perform daily property walks to ensure curb appeal, clean trash enclosures, well-maintained common areas, and vacant unit readiness. 3.
Financial Management, Billing & Collections Rent Collection:
Ensure all rent, utility reimbursements, and late fees are collected promptly on the 1st of the month via online portals or approved payment methods.
Delinquency Management:
Issue formal late notices and 5-Day Notices to Pay or Quit immediately following grace periods, adhering strictly to the Arizona Residential Landlord-Tenant Act.
Eviction Coordination:
File court documents, coordinate with legal counsel, attend court proceedings when necessary, and oversee physical lockouts with law enforcement.
Invoice & Budget Oversight:
Review, code, and process vendor invoices, manage site petty cash or credit usage, and operate within approved monthly operating budgets to protect Net Operating Income (NOI). 4.
Maintenance Oversight & Contractor Management Work Order Management:
Receive, prioritize, and log daily resident work requests into the property management software, ensuring the Lead Maintenance Tech closes orders within 24-48 hours.
Unit Turn Management:
Oversee the turn process for vacant units—scheduling painters, carpet cleaners, housekeepers, and specialized contractors to meet a strict 3- to 5-day turn window.
Vendor Management:
Solicit competitive bids for major repairs, contract services (landscaping, pool care, pest control, trash pickup), and inspect completed vendor work prior to payment approval. Move-In /
Move-Out Inspections:
Conduct initial move-in condition walkthroughs and detailed move-out inspections, document damages, photograph unit conditions, and calculate security deposit dispositions within state statutory deadlines. 5.
Compliance & Reporting System Data Integrity:
Keep all tenant profiles, lease documents, payment histories, and work orders accurate and fully updated in your core property management software.
Weekly/Monthly Reporting:
Prepare weekly occupancy reports, leasing traffic summaries, turnover tracking sheets, and delinquency updates for ownership/corporate leadership.
Legal Compliance:
Ensure strict adherence to federal and local laws, including Fair Housing regulations, local code enforcement standards, and safety compliance. Experience & Key Qualifications 1.
Multifamily Experience:
3+ years in property management, with at least 1-2 years running a 75-125 unit asset independently or as a strong Assistant Manager on a larger site (200+ units). 2.
Software Proficiency:
Hands-on experience with core property management platforms (AppFolio) for tenant billing, work orders, guest card tracking, and application processing. 3.
Turnaround & Leasing Track Record:
Proven background in converting prospect leads into tours and signed leases, maintaining high conversion rates (>30%-35%), and managing local digital advertising (Zillow, Apartments.com, social media). 4.
Operations & Delinquency Management:
Familiarity with Arizona residential landlord-tenant law (5-Day Notices to Pay or Quit, immediate notice process, eviction filings, and court appearances). 5.
Vendor & Maintenance Oversight:
Experience scheduling turns with contractors, inspecting unit turn quality, and prioritizing work orders alongside a Lead Maintenance Tech.
