Job Description

Sail Properties, Inc. is seeking an experienced and detail-oriented HOA Coordinator to oversee the day-to-day operations of residential community associations within our portfolio. The ideal candidate will serve as the primary point of contact for homeowners and board members, ensuring communities are well-maintained, financially sound, and operating in compliance with governing documents and applicable laws. Key Responsibilities Serve as the primary liaison between the HOA board of directors and homeowners, responding to inquiries and resolving disputes in a professional and timely manner. Prepare for and attend board meetings, including drafting agendas, recording minutes, and following up on action items. Oversee and coordinate maintenance, landscaping, and vendor services; solicit bids and manage contractor relationships. Prepare and manage annual operating and reserve budgets in collaboration with the board; monitor financial performance and generate monthly financial reports. Enforce CC&Rs, rules and regulations, and architectural guidelines; process and track violation notices and appeals. Process architectural modification requests (ARC/ACC) and ensure timely board review and communication. Coordinate collection of assessments and work with accounting on delinquency follow-up. Maintain association records, including governing documents, insurance policies, contracts, and correspondence. Manage insurance renewals, claims, and certificate requests. Ensure compliance with California Civil Code (Davis-Stirling Act) and other applicable regulations. Prepare and distribute required annual disclosures, meeting notices, and ballots. Support reserve study updates and long-range capital planning. Onboard future HOA accounts Qualifications Minimum 2-3 years of HOA or community association management experience. CACM (California Association of Community Managers) designation preferred; CCAM or CMCA a plus. Strong knowledge of the Davis-Stirling Common Interest Development Act. Proficiency in property management software (AppFolio or similar). Excellent written and verbal communication skills with a professional, service-oriented demeanor. Strong organizational skills with the ability to manage multiple associations and priorities simultaneously. Experience preparing budgets, reading financial statements, and working with reserve studies. Ability to work independently and collaboratively in a fast-paced environment. Flexible schedule, availability for evening board meetings.

From $30.00 per hour
