Due to continued expansion, KNL Group Properties is seeking a detail-oriented and experienced professional to join the team. Position Overview An experienced Assistant Property Manager is sought to support the day-to-day operations, tenant relations, financial performance, and maintenance activities for a portfolio of commercial and residential properties. Reporting to the Principal Property Manager, this role serves as the primary point of contact for tenants, vendors, contractors, accounting teams, and ownership representatives. The successful candidate will be highly organized, capable of managing multiple priorities, and proactive in a fast-paced environment. Responsibilities include budgeting support, CAM reconciliations, tenant and vendor coordination, maintenance oversight, property inspections, compliance tracking, and financial reporting. This position plays a key role in maintaining operational efficiency, supporting financial performance, and delivering high-quality service to tenants and stakeholders. Strong working knowledge of commercial and residential real estate operations, AppFolio property management software, tenant relations, vendor management, and property accounting processes are required. The Assistant Property Manager must be able to independently resolve routine matters while escalating significant lease, legal, financial, or operational issues as appropriate. Occasional service as the acting property representative for emergency response, inspections, and operational oversight may also be required. Key Responsibilities Property Operations & Portfolio Support Oversee day-to-day operations of an assigned portfolio of properties to ensure alignment with ownership objectives and tenant expectations Maintain accurate property, lease, tenant, vendor, maintenance, and financial records within AppFolio software Support implementation of operational initiatives, preventive maintenance programs, risk management procedures, and property improvement projects Generate and distribute operational, leasing, maintenance, and financial reports as needed Manage tenant service requests and operational issues with timely resolution and clear communication Prepare aging reports, identify delinquent accounts, and provide supporting comments for Principal Property Manager review Oversee late fee calculations, billing tasks, and accounts receivable processes in AppFolio Support budgeting, re-forecasting, CAM estimates, and CAM reconciliations Prepare tenant billbacks and maintain accurate records Facilitate emergency response, vendor coordination, tenant communications, and site inspections as the acting property representative Maintain lease files and critical lease data in AppFolio Tenant Relations Serve as the primary point of contact for tenants regarding operational matters, maintenance requests, billing inquiries, and general communications Coordinate tenant move-ins and move-outs while ensuring proper documentation flows to leasing agents Monitor tenant compliance with lease terms, insurance requirements, and reporting obligations Prepare and review tenant correspondence, notices, default letters, and lease administration documents Vendor & Maintenance Management Coordinate and oversee third-party vendors, contractors, and service providers Solicit bids, review proposals, administer service agreements, and monitor vendor performance and insurance compliance Process vendor invoices in accordance with approved budgets and contracts Conduct regular property inspections (minimum monthly) to identify maintenance needs, safety hazards, and compliance issues Track and manage work orders, repairs, and preventive maintenance programs through AppFolio Compliance & Administration Coordinate acquisition and verification of tenant and vendor Certificates of Insurance Support fire/life safety programs, annual inspections, emergency preparedness, and regulatory compliance Maintain organized records, upload documentation to shared systems, and code utility and vendor bills accurately Assist with monthly reporting, budgeting, forecasting, and special projects as assigned Qualifications College degree preferred (Business Administration, Real Estate, Finance, Accounting, or related field) 1-3+ years of commercial property management experience preferred Strong knowledge of commercial lease administration, CAM reconciliations, budgeting, forecasting, and tenant relations Proficiency with AppFolio software is strongly preferred Experience in accounts receivable, collections, tenant billbacks, and financial reporting Familiarity with retail shopping center operations, vendor management, and property maintenance Ability to interpret commercial leases and identify compliance issues Strong organizational, analytical, and problem-solving skills Proficiency in Microsoft Outlook, Excel, and web-based applications Knowledge of building systems (HVAC, roofing, electrical, etc.) and capital projects is a plus Excellent professional communication skills with tenants, vendors, brokers, ownership, and internal teams Ability to manage multiple properties and priorities effectively in a fast-paced environment
Compensation & Benefits Salary :
$62,000•$72,000 (Full-Time)
