Job Description
Description We are looking for a detail-oriented Property Administrator to support daily operations for a real estate property team in Ontario, California. This Long-term Contract position focuses on resident service, leasing coordination, administrative support, and maintenance follow-up to help keep the community running smoothly. The ideal candidate is organized, responsive, and comfortable working across multiple priorities while maintaining accurate records and clear communication with residents and internal partners.
Responsibilities:
- Manage leasing support activities by answering prospective resident questions, coordinating follow-up, and assisting applicants throughout the rental process
- Review rental applications and resident files to confirm documentation is complete, accurate, and properly maintained
- Oversee maintenance request coordination by logging work orders, monitoring progress, and helping ensure timely resolution
- Prepare operational documents, reports, and other required records for submission to the corporate office
- Provide day-to-day administrative support that helps property operations stay organized and efficient
- Serve as a point of contact for residents by addressing routine inquiries and directing issues to the appropriate team members
- Maintain accurate information within property management systems and support recordkeeping for leasing and resident activity Requirements
- Previous experience in property management, residential real estate, commercial real estate, or a similar industry setting
- Working knowledge of leasing processes and resident-facing administrative support
- Strong computer skills, including the ability to learn and use property management software such as Yardi
- Customer-focused communication skills with the ability to interact professionally with residents, vendors, and internal teams
- Ability to manage several tasks at once in a fast-paced environment while maintaining attention to detail
