This position assists with resident and owner relations, administrative functions, vendor coordination, maintenance requests, inspections, compliance with condominium rules and regulations, and general office operations. The ideal candidate is organized, professional, customer-service oriented, and able to communicate with residents effectively, Board members, vendors, and staff.
Essential Duties and Responsibilities:
Assist the Property Manager with the day-to-day operations of the condominium community. Provide professional and courteous service to unit owners, residents, guests, vendors, and Board members. Answer telephone calls, emails, and walk-in inquiries and direct matters to the appropriate department or individual. Assist residents and owners with questions regarding community rules, procedures, amenities, maintenance requests, and general property matters. Receive, document, and follow up on resident maintenance requests and work orders. Coordinate with maintenance personnel and vendors regarding repairs, service calls, and property-related issues. Assist with scheduling vendor appointments and monitoring vendor access to the property. Conduct routine inspections of common areas and report maintenance, safety, cleanliness, or compliance concerns to the Property Manager. Assist with monitoring compliance with condominium rules, regulations, and policies. Prepare and distribute notices, correspondence, memos, and other communications to residents and owners. Assist with maintaining accurate owner, resident, vendor, and property records. Assist with move-in, move-out, elevator reservations, deliveries, and other resident services, as applicable. Assist with amenity and common-area reservations and scheduling. Maintain calendars, logs, files, and other administrative records. Assist with preparation for Board meetings, including meeting materials, notices, sign-in sheets, and related documents. Assist the Property Manager with Board meeting follow-up and implementation of approved actions. Assist with obtaining proposals and coordinating services from vendors and contractors. Monitor common areas to ensure the property is maintained in a clean, safe, and presentable condition. Assist with emergency situations and follow established property emergency procedures. Maintain confidentiality of owner, resident, employee, and association information. Provide backup support to the front desk, administrative office, and other departments as needed. Perform other duties and special projects as assigned by the Property Manager or General Manager.
Full-Time Pay Rate:
Up to $29 DOE
