Manages property and services on behalf of a community association, for properties such as condominiums or cooperatives. Collects fees or dues, responds to requests or complaints, supervises maintenance, oversees work done by contractors, and provides accounting of income and expenses. May also assist owners or a board of directors with regulatory compliance or compliance with community association rules. Manages the operation of commercial or residential properties. Oversees the collection of rents and payment of bills, taxes and insurance for properties, and provides property owners with reports on finances and the status of properties. Directs leasing operations, or equipment and machinery rentals, for a company or business. Determines charges and prepares rental or lease agreements; supervises inventory, equipment maintenance and recordkeeping for leasing operations.

The Property Administrator supports the Property Management team by handling office operations, tenant relations, and basic accounting tasks. This role plays a key part in maintaining smooth day-to-day operations and delivering excellent service to tenants.
Key Responsibilities:
Welcome visitors to the management office and address their needs politely and efficiently. Answer and direct phone calls in a professional manner. Process invoices using Nexus, ensuring correct budget coding and timely payment. Track and correct work orders to bill tenants accurately. Prepare statements for miscellaneous charges and follow up with tenants on unpaid rent. Maintain files including tenant certificates of insurance and tenant contact info. Help resolve tenant service requests quickly and coordinate team responses. Report and document incidents that could lead to property or equipment damage. Coordinate maintenance services and manage vendor contracts. Handle incoming/outgoing mail and packages. Monitor and order office supplies and coordinate repairs of office equipment. Assist Property Manager, General Manager, and Chief Engineer with additional support tasks as needed.
Qualifications:
High School Diploma required; bachelor's degree is preferred. Experience supporting a Commercial Property Management Team Experience in Microsoft Office, Excel, reception, work orders, certificates of insurance, tenant interaction, construction management, Angus, and AP/AR.
