Overview Provide exemplary customer service to the residents, vendors and team members in the communities we service while ensuring quality community association management for the communities assigned to the Manager's portfolio in compliance with all state, local and federal laws as well as all contractual obligations of the management contract. Responsibilities Answer incoming resident calls and emails to the Association office when applicable. Receive and welcome all visitors to the Association office. Inspect Association common areas in accordance with the Association contract for needed maintenance. Generate Work Orders/Service Request and follow up with residents/staff and vendors. Inspect residences in Associations for compliance with all governing documents and issue violation letters in accordance with Association policies. Facilitate Board and Membership meetings including the proper notice of and preparation of meeting agendas, packets, minutes and all follow-up action items from the meetings in accordance with all laws and governing documents. Maintain the records of all renters when appropriate. Ensure all insurance policies for the association and association vendors are maintained. Oversee Vendor contracts and performance within the assigned Associations. Must maintain contract spreadsheet for each Association for tracking. Coordinate any and all general legal matters with the Association attorney and assist the Collection team when required on any coordination of collection efforts with the attorney. Review all financials and provide a monthly manager report and financial package for the power in coordination with the Accounting team. Assist in the preparation and formal adoption of the Association's annual operating budget and assessment adoption. Review and approve Vendor invoices received for the association and obtain Board approval when appropriate. Maintain files and reports on various computer programs.
