Our company is the long-time managing agent for the Mauna Lani Resort Association (the "MLRA" ), which is the Master Association for a mixed-use luxury planned community on the Kohala Coast of the Big Island of Hawaii. We are seeking an experienced, highly dependable, organized and detail-oriented "right hand" person to provide comprehensive administrative and managerial support to the company's president, who also serves as the Executive Director & Managing Agent of the MLRA. Strong verbal and written communication skills are a must. The ideal candidate will have the ability to: work independently with very minimal supervision; complete a wide variety of routine to moderately-complex accounting & administrative tasks; perform customer service-related functions requiring interactions with a broad range of internal and external customers, including luxury residential/hotel/commercial property owners, contractors/vendors, and our maintenance, security & service teams--with warmth and sincere aloha spirit. GENERAL REQUIREMENTS
Bachelor's Degree or Associate's Degree in a relevant field of study is highly preferred; a minimum of five (5) years of relevant work experience is required (or a combination of education, training and/or experience that demonstrates the required knowledge, skills and abilities). Candidates with previous experience in community association management, property management, legal and accounting environments are of special interest. High degree of proficiency in Microsoft Word, Microsoft Excel and Outlook is required; basic working knowledge of Microsoft PowerPoint and Microsoft Publisher (or ability to learn) is highly desirable, as well as the ability to organize and run virtual meetings (e.g., Zoom, etc). Ability to draft meeting agendas and meeting minutes, as well as other correspondence as described below. Must have a valid Driver's License. The following tasks are representative of the essential functions of this position: Responds to internal and external inquiries with a high degree of tact, professionalism and confidentiality with sincere caring and aloha spirit . Refers routine matters to appropriate parties for action and follows up to ensure proper resolution. Researches questions and problems, identified by telephone or written sources, and prepares draft responses for review by Executive Director. Gathers and summarizes information and data from a wide variety of sources, necessary for decision-making by the Executive Director; assists in the preparation of reports and correspondence and ensures that information is completed in a timely and accurate manner. Properly codes and transmits invoices (for payment by MLRA's fiscal management company) and follows up to ensure that payments are completed and booked accurately. Provides support to Executive Director with the preparation of MLRA's annual budgets and reserve expenditure plans, as well as with annual insurance policy renewals. Independently drafts newsletters, a variety of routine correspondence, forms, reports, meeting notices and agendas; attends meetings and produces meeting minutes. Routinely sends out E-blasts to the MLRA members and posts pertinent notices, activities and events on the Association's website. Sets up and maintains files, schedules and project tracking processes; maintains information in various computerized databases and generates hard-copy reports and data file exports as requested. Maintains membership rosters and library of the Association's governing documents, as amended and updates private Dropbox files. Keeps Executive Director apprised of upcoming scheduled meetings/appointments/events. Assists with the organization & planning of regular meetings and special annual event functions such as cocktail parties and annual meeting, including procurement of meeting facilities, catering & menu planning, invitations, and overall event coordination.
STATED SALARY RANGE FOR THIS POSITION IS NEGOTIABLE. SALARY WILL BE COMMENSURATE WITH EXPERIENCE & QUALIFICATIONS. STANDARD BUSINESS HOURS FOR THIS POSITION ARE 9
00am to 5:00pm
