SUMMARY OF FUNCTIONS
This position involves the authority, responsibility, and accountability to plan, implement and monitor operations, profitability, quality service, marketing, and resident relations of the property, while maintaining the company investment. Utilize management skills to train, motivate & empower our team to reach their goals and those of our property.
MAJOR DUTIES AND RESPONSIBILITIES
Duties include, but are not limited to: Schedule, supervise, and direct the daily activities of all on-site staff. o Prioritize, assign and monitor daily activities, service requests, make-ready o priorities and construction projects. o Conduct training, coaching, and disciplinary action, as needed, per the standards of the management company. o Complete performance reviews as scheduled. o Create an atmosphere of cooperation, enthusiasm, service urgency, teamwork, customer satisfaction, and professionalism among staff members. o Supervise management of the inventory system in conjunction with maintenance o supplies and personnel. Responsible for fiscal budgetary compliance with approved operation budgets. o Complete budget preparation, and annual property inspection for same. o Maintain a budget control log and reviews financial statements monthly. o Achieve budget goals regarding occupancy, expenses, NCF, etc. o Review monthly income and expense reports and report on any variance from the budget. o Negotiate for supplies and services with vendors and contractors to achieve best possible prices. o Obtain purchase orders per policy and advise the supervisor of any expense overages. o Ensure all invoices are processed/posted daily per company standards. o Maintain cash receipt journal and daily and monthly reports. o Control petty cash fund. PERFORMANCE STANDARD
- On-Site Manager o Ensure timely submission of all reports per standard. o Process and select new residents in accordance with the management company's Statement of Rental Policy. o Maintain records and resident files in an orderly and up-to-date manner. o Collect rent, maintain account records, and make bank deposits. o Prepare legal action for eviction when necessary. Provide effective marketing and communications, including advising management of pertinent issues as related to the community, market, or other respective issues. o Prepare advertising and marketing plans for the development. o Showed and lease apartments, including but not limited to telephone, chat, email, and text inquiries. o Conduct weekly market surveys via Radix. o Collaborate with the property manager to assess changes in the rental market through analysis of customer traffic and rental records. Plan, promote and implement effective Resident Retention program. o Communicate with residents through monthly newsletters and monthly community. o activities, regular resident recognition, follow-up on service requests (10% per week), and continual promotion of resident services. o Organize and direct the lease renewal program by contacting residents at least 90 days in advance to schedule an appointment for a home visit, review "gift" options, and sign the lease renewal. o Perform effective annual apartment inspections of each unit, including Home Visits with each renewal lease.
ORGANIZATIONAL RELATIONSHIPS
Reports directly to the property supervisor. Trains and supervises on-site personnel. Works with the administrative, operation and accounting staff, other site managers, other management company employees, outside vendors, and service providers.
OTHER REQUIREMENTS
Hours of Work :
Basic schedule includes, but is not limited to, coverage of office from 9:00a.m. to 6:00 p.m., Monday through Friday. The manager must be on call "24 hours". This is not limited to a 40-hour-per-week job. We intend a reasonable work life balance though in events of emergencies, lockouts, etc. employee must be available.
Physical Requirements :
This is not solely a desk job. Extensive mobility and good physical condition is needed. Must be able to perform the physical functions of the position, which may include, but are not limited to the ability to walk the property, including four or more flights of stairs, to complete physical inspections, deliver resident communications, and show apartments. Be able and willing to clean and do ground pickup as needed, move models, stock fridges, etc. Must be able to effectively communicate with residents, staff, supervisors, vendors, etc. Must be able to lift a minimum of 60 lbs. to facilitate vacuuming, moving office furniture and lifting of supplies.
