Join a premier, high-standard agency where your leadership is valued and supported. We are looking for a powerhouse "Go-Getter" to join our elite team! Gray Residential Services is seeking an elite "Go-Getter" Program Manager to lead residential operations across Indianapolis, Noblesville, and Greenwood. This is not a "desk job"—we are looking for a visible leader who ensures our clients receive the highest quality person-centered care while maintaining rigorous state compliance. You will be the primary bridge between direct care staff, families, and state consultants. You must be a master of Indiana Medicaid Waiver compliance while possessing the grit to work directly alongside your team in the field.
CORE LEADERSHIP STANDARDS
Field-First Mentality:
You must work a minimum of 2 full shifts per week in the field as a DSP . This ensures you are personally connected to client needs and staff performance.
On-Call Accountability:
You are the primary point of contact for your sites. You must have the flexibility to handle after-hours staffing crises or clinical emergencies.
Proactive Initiative:
We need a leader who identifies a problem during a site audit and fixes it immediately before it reaches the Director level.
FULL RESPONSIBILITIES 1.
Operational Leadership & Excellence Caseload Management:
Oversee all daily operations for residential sites, ensuring 24/7 coverage, staffing stability, and a "Zero-Gap" master schedule.
Mentorship:
Directly mentor Team Leads and DSPs to follow agency policies and procedures.
Site Environment:
Conduct weekly site visits to ensure total site cleanliness and that the home is "audit-ready" at all times. 2.
Regulatory Compliance & Medicaid Auditing Zero-Deficiency Standards:
Ensure 100% adherence to 460 IAC 6 (Indiana Medicaid Waiver) and DDRS guidelines. Prepare for and lead state audits/surveys.
Clinical Auditing:
Conduct weekly site visits to audit Paper Medication Administration Records (MARs) , Financial Folders, and Daily Service Records (DSRs) with 100% precision.
Administrative Reporting:
Submit weekly accountability checklists to the Director. Audit all staff timecards daily and ensure all monthly site reports are submitted by the 12th of each month. 3.
Person-Centered Planning & Clinical Advocacy Meeting Leadership:
Facilitate all IST and Quarterly meetings. Act as the professional liaison between the agency, families, medical providers, and state consultants.
Goal Tracking:
Translate PCISP goals into actionable daily data tracking for DSP staff, ensuring goals are tracked with clinical precision. 4.
Staff Accountability & Performance Management Performance Tracking:
You are directly responsible for the performance of your DSPs. You must document all staff interactions (call-offs, tardies, successes, or errors) in the Provide system.
Disciplinary Action:
Issue formal Letters of Correction (LOCs) and conduct immediate on-site retraining for any documentation errors or performance issues. 5.
Financial Management Financial Integrity:
Manage house budgets and client personal funds. Oversee checkbook balancing and financial summaries with 100% transparency and zero errors.
QUALIFICATIONS
Experience:
Minimum 2-3 years of management experience in an Indiana Waiver/Residential setting is mandatory .
Education:
BS in Psychology, Human Services, or related field preferred.
Mindset:
A "Go-Getter" who takes initiative and works independently.
Initiative:
Proven track record of taking initiative without constant supervision.
Technical:
Proficiency in Microsoft Office, SharePoint, and electronic documentation systems.
Mobility:
Valid DL, active insurance, and a reliable vehicle for travel between Indy, Noblesville, and Greenwood.
