Job Description

We are seeking a dedicated, experienced, and highly organized Assistant Property Manager for a luxury 55+ community in Nassau County. The ideal candidate will provide exceptional customer service, elevating our levels of hospitality on an ongoing basis. The Assistant Property Manager will also be expected to oversee staff in the absence of the Property Manager and maintain meticulous records.
Responsibilities:
Property & Resident Management:
Respond to resident requests for inspections and submit work orders promptly. Ensure resident work order requests are responded to promptly and professionally, with timely status updates and clear communication throughout the process. Respond to emergencies and address homeowner inquiries. Create and send notifications to the community using Constant Contact.
Administrative & Staff Support:
Work with the Property Manager to plan and prepare work schedules with a minimum two-week lead time, with particular planning for the high season (May to October). Maintain meticulous records and assist with community events and communications. Manage office supply inventory Assist the concierge with entering checks to replenish homeowner activity accounts.
Event Assistance:
Assist with the set-up of Zoom for meetings, and also with the set-up of sound systems, microphones, etc., for events. Assist with the set-up of movie showings in the movie theater. Maintain knowledge of Constant Contact to input documents. Maintain knowledge of POS systems to create buttons for events, the cafe, the bar, etc. Assist with community events and communications, including pre-planning and post-event assessment for both inside and outside events.
Project Oversight:
Assist the Property Manager & Maintenance Manager with obtaining bids from outside contractors. Oversee contractor work to ensure completeness.
Technology & Access Control:
Assign or reprogram key fobs and car stickers using Brivo software.
Required Skills:
Strong organizational skills. Ability to prioritize tasks and manage multiple projects simultaneously. Excellent communication and customer service skills. Proficiency in Microsoft Word, Excel, and Outlook. Familiarity with Zoom set up and troubleshooting. Ability to compare, copy, compute, compile, analyze, coordinate, communicate, and instruct. Ability to work under minimal to moderate supervision. Ability to maintain flexibility and creativity in a variety of situations. Ability to maintain confidentiality. Ability to drive an automobile. Ability to consistently meet deadlines. Ability to work both proactively and quickly.
Additional Requirements:
Must maintain a professional appearance. Must comply with all safety regulations, including using back braces, safety goggles, and gloves when appropriate. Ability to be at work regularly and consistently; overtime may be required for this position. Ability to work weekends and non-traditional holidays. Must be available to work on-call or be reachable via phone, text, or email except during approved time off.
