We serve residential and commercial properties througout the counties of Bucks, Montgomery, Lehigh and Philadelphia. We are seeking an energetic, proactive, organized, detail-oriented and customer-focused Property Management Assistant to join our dynamic team. In this vital role, you will support the daily operations of property management; ensuring seamless communication between tenants, vendors, and property owners as it relates to property maintenance coordination and leasing activities. Your enthusiastic approach will help maintain high standards of customer service, efficiency with property administration and overall workflow in the office. Duties Day to day office administration; collect and sort mail, answer phones, emails and inquiries professionally Assist with lease administration, including processing applications, renewals, and terminations using the property management software of AppFolio Maintain organized digital and physical filing systems Schedule appointments, property showings, inspections and vendor visits Support rent collection efforts, including data entry, payment processing, and follow-up on overdue accounts Coordinate property maintenance requests and track work orders through the AppFolio software Maintain accurate filing systems for legal documents, contracts, tenant records, and compliance documentation in accordance with Fair Housing regulations and landlord-tenant law Prepare leases, renewals, notices and management documents as needed Assist with bookkeeping, invoice processing, rent tracking and data entry Maintain accurate tenant, owner and vendor records Order office supplies and coordinate office needs Provide exceptional customer service by answering landlord and tenant inquiries via phone and email with professionalism and courtesy Support leasing activities by coordinating move ins and move outs, utility providers, screening potential tenant candidates, scheduling inspections, Use & Occupancy requirements, and processing security deposits Assist in conflict management between tenants or vendors by facilitating effective communication and resolution strategies Help process the monthly management reports furnished to owners reflecting property income and expenses Qualifications Experience in customer relationship management with excellent phone etiquette and conflict resolution skills Demonstrated ability to handle data entry accurately, manage filing systems efficiently, and support facilities management tasks Office experience with proficiency in Microsoft Office suite or similar tools for documentation and reporting purposes Experience in property management or real estate administrative roles, with familiarity using Propertyware, AppFolio or similar property management software is helpful Knowledge of landlord-tenant law, contracts, and legal administrative procedures related to property leasing and management Excellent communication skills for resolving landlord or tenant issues effectively Ability to manage multiple priorities in a fast-paced environment while maintaining attention to detail Join us as a Property Management Assistant if you're passionate about helping people, making a difference, establishing smooth running systems, real estate, eager to develop your skills in a vibrant setting, and committed to delivering exceptional service.
