We manage approximately 110 common interest developments across Sonoma, Marin, and Mendocino Counties. Our team is built on deep knowledge of the Davis-Stirling Common Interest Development Act, long-standing client relationships, and a commitment to professional, compliant management. The Role The Community Association Manager (CAM) serves as the primary relationship manager and operational lead for a portfolio of common interest developments. This position requires expertise in California's Davis-Stirling Act, strong organizational skills, and a commitment to proactive board governance support. You will facilitate board direction, manage vendor relationships, ensure compliance with governing documents, and deliver consistent, professional service to Owners and Boards of Directors. Core Responsibilities Portfolio & Client Management Manage a portfolio of Association clients across our three service tiers Serve as the primary point of contact for Boards of Directors and Owners Conduct routine site inspections per each management agreement; document findings and provide written reports to the Board Track billable hours for services rendered outside the scope of the management agreement Board Meeting & Governance Support Attend Board meetings per the management agreement; prepare and distribute Board packages within established timeframes Record and distribute meeting minutes; maintain action item lists and follow up on open items prior to each meeting Prepare comprehensive management reports for each Board packet, including status of work orders, violations, and architectural requests Advise Boards on California Civil Code requirements, the Davis-Stirling Act, and the Association's governing documents Notify Boards promptly of any pending legal actions or compliance concerns Operations & Vendor Management Coordinate and oversee routine and special-project vendor services; evaluate vendor performance Assist Boards with the architectural review process per governing documents Administer work orders within the authority of the Association; confirm completion before closing Oversee the accounts payable process within board-authorized budgets Utilize SPS management tools — including annual calendars, action item logs, timed agendas, and RFP matrices — consistently and effectively Financial & Reporting Review monthly financial reports and ensure timely delivery of management summaries to Boards Refer all Owner financial inquiries to the SPS accounting team Provide professional recommendations regarding capital expenditures to support and preserve property values Owner & Community Relations Respond to Owner inquiries professionally and within established response standards Delegate CC&R/Rules violation follow-up and architectural modification requests to support staff with clear instruction; confirm outcomes prior to release Maintain accurate unit files, contract files, and operational records for each
Association Qualifications Required:
Minimum 3-5 years of community association management experience with increasing responsibility Working knowledge of the Davis-Stirling Common Interest Development Act, California Civil Code, and California Corporations Code Strong administrative and organizational skills; ability to manage multiple priorities with clear, proactive communication Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams) Excellent written and verbal communication skills; comfort with public speaking Proven conflict resolution, time management, and deadline management capabilities Valid California driver's license and reliable transportation for site visits across
Sonoma, Marin, and Mendocino Counties Preferred:
Professional designation: CCAM (CACM), CMCA, AMS, or PCAM (CAI) Bachelor's degree in Business Administration or related field Experience with Vantaca/CINC/Frontsteps or comparable association management software Who Thrives Here You are a self-directed professional who takes ownership of your portfolio and communicates proactively with Boards and Owners. Monday - Friday; evening Board meetings required as scheduled
